We are currently growing our North America team and are seeking an Absence & Case Management Manager to join our talented team!

This role may be located at our Bismarck, ND; Gwinner, ND; Wahpeton, ND; West Fargo, ND; Litchfield, MN or Statesville, NC locations.

This position will serve as a subject-matter expert and consultant on the holistic leave of absence (LOA) experience and process, including related services, such as pay during LOA (short-term disability, workers compensation) and accommodations/RTW processes. This will include LOA operational support, and providing expertise and guidance on process standardizations, improvements, and enhancements, while ensuring compliance and proper documentation regarding all applicable laws and regulations.

This role will also support all non-LOA time away from work (TAFW) benefits, including vacation, short-term and long-term disability (STD and LTD), sick pay, and company holidays. This will entail direct support of the overall strategy, and operationalizing these benefits across the organization, including some project management.

Role & Responsibility

Leadership

  • Leading and support a team of absenteeism experts.
  • Serve as subject matter expert for the leave of absence and workers' compensation programs in alignment and under the general direction and guidance of HR leadership and the legal department.
  • Establish partnerships with local healthcare networks and create operational synergy to better the employee experience.
  • In collaboration with the Environmental, Health and Safety team, facilitate the return-to-work arrangements arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state-specific Family Medical Leave, other state and local leave laws, Workers' Compensation and short-term disability plans.
  • Own and manage partnerships and integrations that impact leave processes, including internal and external partners.
  • Achieve business objectives, monitor case volume and resolve escalations.
  • Drive efficient leave of absence management process, project management, automation and continuous, standard, scalable process improvements.
  • Establish and maintain strong leave case data and metrics.
Absence Management
  • Provide hands-on operational support, potentially including handling of escalations and complex cases, defining case assignments, and supporting projects focused on LOA technology/systems.
  • Manage process documentation (case mgmt., tracking/reporting and follow up) to ensure absences are recorded properly and employees are paid according to established pay policies for all leaves of absences.
  • Provide quality and timely customer service of employee leave requests while maintaining compliance with policies and procedures.
  • Support research of leave records, updating employee records, benefit eligibility and deductions, while having effective and clear communication.
  • Determine eligibility and interpret policies for Leave of Absence, including but not limited to FMLA, State-specific related leaves, parental leave, jury duty, bereavement, & military leave.
  • Participate in workers compensation incident investigations and root cause analysis as necessary.
  • Review leave requests and provide required documents (Federal/State notices, designation letter, benefit payment process, etc.) to employee.
  • Document, process, and report on incidents and claims associated with occupational injuries or illnesses.
  • Audit compliance with work restrictions.
  • Maintain tracking of employee leave information in HR database and provide status updates to HR Partners, Managers and Payroll as necessary.
  • Coordinate with management and employees on workplace accommodations for early return to work in partnership with site HR.
  • Handle sensitive information in a confidential manner with high integrity and discretion while ensuring HIPPA compliance.
  • Tier 2 customer service, investigations, and issue resolution.

Job Requirement

  • Education required: Bachelor's degree or strong absences management experience may be considered in lieu of degree.
  • Travel required: < 10%
  • Experience:
    • +5 years leave of absence experience, human resources or benefits operations experience in a large organization.
    • Experience in designing and implementing strategic changes to the overall LOA process and operations model, with a focus on the customer experience.
  • Strong customer service background.
Preferred Qualifications
  • Understanding of HR functions and systems (SAP, GHRIS/HASS).
  • Experience and clear understanding of workers compensation, safety, or medical case management.
  • Process improvement mindset & commitment to customer service excellence.
  • Exceptional teamwork and interpersonal skills; enjoys working with multiple customers; is enthusiastic, positive, and customer oriented professional.
  • Ability to anticipate, respond to, and exceed customer needs and act on customer feedback with a sense of urgency.
  • Handle sensitive information in a confidential manner with high integrity and discretion.
  • Demonstrated ability to produce accurate work product and strong detail orientation.
  • Strong oral and written communication skills to interact with claimants clearly, concisely, and persuasively.
  • Ability to remain tactful, calm, and persuasive in controversial and/or confrontational situations.
  • Advanced analytical skills to resolve problems quickly and to continually review and change practices for maximum efficiencies.
  • Ability to work in a fast-paced environment with short deadlines.
  • Advanced knowledge of state and federal laws concerning leave types.
