The Absence Manager is responsible for all aspects of the administration and reporting of disability and leave programs across the organization, including design strategy, compliance, process improvement, issue resolution, data and trend analysis. The position serves as the subject matter expert for HPOne's leave programs and is responsible for all program(s) compliance.

Supervisory Responsibilities:

  • Oversees outsourced Leave Administrators responsible for all aspects of employee leaves to ensure compliance with company policies and federal and state leave regulations, while providing instruction, guidance and excellent customer service to employees, managers and operations.

Duties/Responsibilities:

  • Serves as the subject matter expert on leaves, in collaboration with Legal and HR leadership. Interprets and administers leave policies within the framework of applicable federal and state regulations.
  • Analyzes data and trends. Creates, maintains, and communicates regular 'dashboard' metrics on leaves providing recommendations and insights for improvement.
  • Identifies opportunities to implement process improvements and efficiencies with internal business processes.
  • Facilitates ADA leave extension request process, leads interactive discussions, and works with Human Resources and Operations on requests.
  • Develops and maintains leave resources, training, educational material, and communications for employees and managers. Conducts manager and HRBP training on role specific leave responsibilities.
  • Coaches managers on leave policy and processes. Assists managers with complex leave issues involving FMLA and other leave types.


  • Serves as the point of escalation for leave matters. Resolves escalated issues with a sense of urgency. Oversees, updates, revises Leave of Absence process and works in partnership with HRIS to oversee and update the LOA process in Workday to ensure internal service levels are being met.
  • Manages the daily operations of the Leave Third Party Administrators (TPA's), manages performance levels and monitors vendors for adherence to established service level agreements and identifies opportunities to leverage vendor capabilities to support process improvement.
  • Participates in vendor RFP's, selection, negotiation and annual renewal.
  • Perform other related duties as assigned.

Required Skills/Abilities:

  • Bachelor's degree or equivalent related work experience
  • 7 years of experience in leave administration, with a strong emphasis on vendor management, customer service, continuous improvement, and compliance monitoring.
  • Strong base of analytical skills to continuously find new ways to increase data collection and processing efficiency.
  • Experience partnering with third party Leave providers.
  • Experience managing multiple priorities, thinking tactically as well as strategically, demonstrating objectivity, delivering results, and taking initiative.
  • Demonstrated ability to interact with employees and management in a fast-paced environment.
  • Excellent oral and written communication skills.
  • Ability to prioritize and complete projects by set deadlines.
  • Demonstrated ability to respect and maintain the confidentiality of all sensitive information, documents, records, discussions and other information in connection with employee matters.
  • Experience in managing teams within a dynamic environment.
  • Strong attention to detail, highly organized.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer, typically in a cubicle or office environment (constant noise, fluorescent overhead lighting)
