Job Description

The Administrative Assistant will be responsible for providing administrative and clerical support for a chemical manufacturing plant site operations team. The ideal candidate will be experienced in handling a wide range of administrative related tasks for an operations team and must be able to work independently with little or no supervision. This position:

  • Creates, runs and distributes standard and customized periodic reports, to communicate follow-up requirements and to summarize reports, etc.

  • Maintains organized computer and/or hard copy files for easy identification and retrieval.

  • Prepares purchase requests and coordinates with the purchasing department or utilizes a purchasing card to procure supplies.

  • Reconciles and completes monthly purchasing and/or corporate credit card expense reports.

  • Helps manage plant visitors, site activities and celebrations, and other administrative duties as determined necessary to support site success

  • Coordinates inbound and outbound shipments (rail and truck), addresses any railcar issues, and tracks/reports delivery to promise metrics.

  • Oversees production in SAP (inventory and process order completion/accuracy)

  • Maintains inventory of raw materials, PPE, operating supplies, office supplies, vendor-managed-inventory, etc. including entry of service entry sheets in SAP

  • Coordinates shipping of waste materials including creation of waste manifests and waste profiles as needed.

  • Maintains operating logs to ensure compliance with policy and regulatory requirements.

  • Reconciles monthly accruals for utilities billing.

  • Completes monthly inventory reconciliation.

  • Maintains site metrics.

  • Reconciles CASS (freight payment system).

  • Monitors/processes invoices via DataServe.

  • Is Site Lead for SAP and printer issues.

  • May assist with location human resource functions.

  • Assists in the monthly financial close to include but not limited to PT accounts, Accruals, and sharing of financial data with the Accounting and Finance department.

  • Facilitates or assists in meetings as needed.

  • Assists others at the location as needed.

Qualifications

● 3 - 5 years' administrative assistant experience with an operations focus in corporate or
private industry

● Proficient with Microsoft Office suite (Word, Excel, Access, PowerPoint)
● Strong communication and interpersonal skills and ability to interact effectively at all levels
of the organization with personnel and executive management

● Excellent written, verbal and interpersonal skills and ability to professionally interact with
diverse internal and external groups
● Strong analytical and problem solving skills with attention to details and ability to review
materials for accuracy
● Ability to independently complete multiple time-sensitive tasks
● General technical ability to navigate through a variety of computer applications
● Excellent time management and organizational skills
