We are currently seeking a Full-Time Administrative Assistant II who will adhere to the aforementioned mission statement. The primary duties for this position is a receptionist who will perform varied clerical duties for programs/departments involving considerable administrative responsibility, and perform advanced data entry. The Administrative Assistant will be able to facilitate smooth office procedures and independently determine the disposition of administrative problems that are more than routine in nature, referring only complex question to the supervisor.

GENERAL QUALIFICATION REQUIREMENTS

EDUCATION:

  • Required: High School Diploma or GED.
  • Preferred: Associate Degree.

EXPERIENCE:

  • Required: 3 years of experience in a Secretarial/Clerical Environment.
  • Preferred: 4 years of experience in a Secretarial/Clerical Environment.

JOB DUTIES AND RESPONSIBILITIES:

  • Answer phones, screen, or forward calls, providing information, taking messages, or scheduling appointments;
  • Greet visitors, determine nature and purpose of visit, and direct or escort them to specific destinations;
  • Maintain/Schedule appointments and update appointment calendars;
  • File, track and maintain various reports, documents and records;
  • Receive payments, record receipts for services, post and file cash payments, and sign receipts (Procare Childcare Software);
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents;
  • Analyze data to determine answers to questions from customers or members of the community;
  • Process and prepare memos, correspondence, travel vouchers, or other documents;
  • Order, receive and deliver merchandise or materials for department;
  • Enroll individuals to participate in programs and notify them of their acceptance;
  • Provide exemplary level of customer service to all internal, external customers, vendors, community leaders;

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must have accuracy in spelling, grammar, sentence structure and punctuation.
  • Must have attention to detail.
  • Must have proficient Communication Skills (Interpersonal, Verbal, and Written) to convey information effectively.
  • Must have current Microsoft Office skills (Excel, Outlook and Word).
  • Must have efficient organizational skills.
  • Must have typing skills with a proficiency level of 55 wpm.
  • Must have a high level of professional at all times, especially when dealing with resistance or hostility.

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.

Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)

Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, Business Objects, and various other educational applications.) Work may also be performed outside of the office and with little to no supervision. This position operates in a child care environment, requiring regular sanitation. Employee will experience daily exposure to household cleaning supplies, frequently distracting noise levels, and frequent interruptions.

Salary: Amarillo College Staff Salary Schedule grade 7
