The Administrative Asst, Sr., under general supervision of Department Administrator responsibilities includes serving as direct assistant to Internal Medicine Chairman, assisting the Department Administrator with special projects, backup to the Clerkship Coordinator, Residency Coordinator, travel & expense reports, expense reporting, data base maintenance, records & transcribes meeting minutes. This position handles a wide range of administrative and executive support related tasks, and uses discretion in dealing with sensitive situations.

Daily Operations

  • Performs front office and other clerical duties including, but not limited to: answers phones and greets all visitors in a courteous and professional manner; opens and sorts mail; campus wide errands; transcribe dictated recordings; designs, coordinates travel arrangements and expense reports for faculty members, keeps Chairman's calendar and other duties as requested.
  • The person will oversee special projects as designated by the Department Administrator and/or the Chairman. Coordinates the scheduling of special events and meetings occurring on and off campus. Works with the Administrative program coordinator. Interacts with campus management (as needed). Other special projects as needed.
  • Serves as the initial contact for the Internal Medicine Department in the School of Medicine. Greets all guests, assist the Internal Medicine Chairman & Department Administrator with a variety of projects as needed. Maintains the Internal Medicine faculty database and calendars.
  • Provides administrative support in the development, implementation, and marketing of program/project function. Provides contingency support to both the Residency & Clerkship coordinators.

  • Must know Microsoft Office applications.
  • Ability to organize and manage multiple tasks concurrently.
  • Skill in organizing resources and establishing priorities.
  • Ability to make administrative/procedural decisions and judgments.
  • Advanced writing and editorial skills.
  • Clerical, word processing, and/or office skills.
  • Skill in the use of personal computers and related software applications.
  • Ability to interact with students, faculty and/or staff in a team environment.
  • Records maintenance skills.
  • Ability to coordinate and organize meetings and/or special events.
  • Knowledge of communication principles, media, and marketing techniques.
  • Establish and improve procedures and processes by addressing issues and risks

Required Education and Experience
  • Bachelor' s degree from an accredited college or university with a minimum of four (4) years of related experience in an increasingly responsible capacity required.
