Job Description Summary
Administrative Director (AD) serves as administrative lead for the Cardiovascular Institutes (CVI) at Penn and CHOP, providing strategic planning, administrative and operational oversight, and program direction that are critical to the scientific missions of the Penn and CHOP CVIs. Under the direction of the Director of the Cardiovascular Institute, the AD manages the day-to-day operations of the CVIs (including two Core Facilities) as well as the research program for the Kelly Laboratory. In both roles (oversight of the Institutes and of the research program), the AD supervises and trains staff, oversees the recruitment process of new hires, and manages research and core facility spaces. Together, the AD manages an annual budget of over $6.7M (at Penn and CHOP combined), 120 faculty (20 Primary faculty, 120 members), and over 10,000 square feet of research space.

Job Responsibilities

Administrative oversight of CVI Lab and Office Space

Keep lab managers informed of changes/policies, etc

Help faculty/recruits with space needs

Ensure common equipment running properly and maintained

Point person for all space and equipment issues

Administrative oversight of CVI Cores

Penn Metabolomics Core

  • Biweekly meetings to review queue and operations
  • Oversight of the budget
  • Helped write S10 grants in 2019, 2020 and 2021

Rodent Cardiovascular Phenotyping Core
  • Personnel oversight (hiring, evaluations)
  • Budget oversight
  • Oversee operations
  • Helped write S10 grant in 2022
  • Monthly Meetings to review schedule, SOPs, and project queue

Kelly Lab Director Responsibilities
Attend Lab Meetings
Manuscript Submissions
Help with Grant writing
Oversight of Kelly Lab Website
IACUC, MTA and regulatory licenses (DEA)
Budget oversight/effort distribution
Oversight of laboratory staff (hiring/evaluations, etc)
Point person for lab matters

Support of Penn/CHOP CVI Director
Honorarium tracking for tax purposes
Meeting Prep (Faculty meetings, etc)
Consultant invoicing quarterly
Help with faculty recruitment efforts for Penn and CHOP
Dream Team Pilot Grant administration
Point person for any office matters

Oversight/Supervision of the CVI Admin Team
Assign admin effort to CVI faculty
Hiring, evaluations, sign timesheets, team meetings, etc
CVI Seminar Series

Major Event Planning (Symposia)

  • Bachelor of Science, Bachelor of Arts, and 7 to 10 years of experience or equivalent combination of education and experience is required.
