Job Summary

Reporting to the Dean of the School of Communication, Film, and Media, the Administrative Manager will work closely with the Dean and Associate/Assistant Deans, graduate studies coordinator and assistant graduate studies coordinator, program heads, faculty, and staff on all administrative and financial matters for the School. The Administrative Manager will serve as a leader on administrative and support functions of the School, including human resources, finance, and compliance with University policies. Additionally, the Administrative Manager will be responsible for assisting the Dean with SCFM financial and budget planning and management operations and also serve as the Dean's liaison with the Office of the Provost and the Office of Budget Services on matters associated with the School budget.

Responsibilities

Budget Responsibilities - 45%

  • Oversees the coordination of funds for the SCFM Dean's Office and program units' annual operating budgets, personal services budgets, budget amendments, and summer school budgets. Advise the Dean and program leaders on budget strategies, faculty development, and travel requests. Provides financial oversight of purchasing and accounting activities; serves as primary contact for all procurement, including contract preparation, bid evaluations, and supervision of associated billing and payments in the School. Manage annual budgeting process, including interface with SCFM programs and experiential labs and with the Office of Budget and Financial Services and the Office of the Provost. Liaison with the Office of Research and Sponsored Projects. Grants Fiscal Management: Responsible for administrative work associated with all grants within the School.

  • Develops, manages, and reconciles numerous intricate program budgets, i.e., budgets that interface with each other, requiring internal and cross balancing, and understanding of and compliance with diverse and changing policies and procedures. Budgets span E&G, personnel, agency, course fees, federal work study, faculty research grants, revenue, SRAP grants, student activity fees, student assistants, graduate assistantships, and technology fees. Manages and reconciles approximately 20 professional growth and development budgets for faculty and staff. These budgets interface with aforementioned budgets, and require internal and cross balancing, as well as understanding of and compliance with diverse and changing policies and procedure; and serves as principle troubleshooter for numerous corresponding travel authorizations and travel expense statements. Oversees contract work for hire and budget reconciliation for bluestone PR Firm, WOLF Radio, WUTV, and SCFM Productions in collaboration with the faculty, advisors or staff managers in these areas. Reconcile accounts for SCFM Dean's Office, bluestone, SCFM Productions, The West Georgian, WOLF Radio, and WUTV.

Human Resources - 35%

  • Oversee all aspects of HR Management for the Dean's Office and SCFM. Ensure personnel actions adhere to university policy and make decisions as necessary. Aid in training of all new administrative support personnel in the School. Serve as chief liaison with University Human Resources. Coordinate hiring processes for all faculty and staff within the School. Coordinate faculty review processes, including promotion and tenure, instructor conversions, pre-tenure (third-year) review, post-tenure review, post-appointment review, and career ladder processes. Assists with hiring and supervision of student assistants, including managing daily assignments, timesheets, and performance evaluations; planning developing and conducting human resource and office policies/procedures training, including developing training resource manuals; Plans, develops, and conducts budget and human resource training for campus media faculty advisors or staff managers, student assistants, and student staff. Directly supervises select student and graduate assistants.

Office Management - 10%

  • In collaboration with administrative support personnel, oversees the day-to-day operations of the Dean's Office, including supervision of professional staff members and student workers. Develop implementation plans and procedures for operational changes within the Dean's Office. Conducts, manages, and reconciles technology-intensive department inventory that averages an estimated value of approximately $500K to one million dollars of instructional technologies and media technologies for experiential learning labs; Manages technology and maintenance of classrooms assigned to the School, and serves as principle troubleshooter for related issues; Serves as a primary liaison for maintenance and other support services.

Information Technology - 5%

  • Coordinate technology for the School; serve as a representative on the Tech-Fee committee for the SCFM; liaise with ITS.

Other Duties Assigned to Assist School - 5%

  • Provides key administrative support; serves as principal researcher (collects, compiles information and makes recommendations); and serves as primary liaison for the Dean's Office, multiple programs, and student organizations. Provides key support for planning and execution of large-scale special initiatives and events (100-300 participants), e.g., Media Day, Gibson Public Speaking Contest, that involve diverse campus, community, and industry constituents; Manages logistics for field trips and large-scale, special events.

  • Compiles, analyzes, and synthesizes data to inform comprehensive reports for the Dean' Office and aforementioned multiple programs, particularly annual reports, budget reports, and assessment reports; Advises and keeps faculty, staff, and student staff in compliance with program, School, university, and BOR policies and procedures.

Required Qualifications

Educational Requirements

  • Bachelor's Degree in a related business or accounting field.

Required Experience

  • Four years of related experience in Budget/Accounting with demonstrated responsibilities for overseeing and improving business or administrative operations, business management, and/or budget management experience.
Preferred Qualifications

Preferred Educational Qualifications

  • Master's degree in business related field.

Preferred Experience

  • Experience with complex financial and accounting systems and business intelligence tools.
  • Experience in higher education.
  • Prior experience with UWG budget and personnel policies and procedures is preferred.
Proposed Salary

$65,000 annually.

Knowledge, Skills, & Abilities
  • Knowledge of budgetary and accounting principles and practices required. Knowledge and experience with space planning, complex financial and accounting systems and business intelligence tools.
  • Effective oral and written skills, time management, organizational skills, and expert computer skills as well as presentational facilitation and leadership skills.
  • Ability to work independently & effectively with diverse populations, make independent judgments & procedural decisions, maintain confidentiality, and offer equity-minded advice in solving common and unusual problems.
  • Demonstrated ability to think logically and solve complex problems, with excellent organizational and analytical skills.

  • Errors related to budgetary and purchasing decisions could result in significant and negative fiscal ramifications for the School and University.
  • This position necessitates efficiency.
  • Must possess superior time management abilities and prioritize tasks.
  • Poor time management decisions will result in a negative impact on unit services and operations impacting students, faculty, and staff.

Physical Requirements:

  • Able to lift up to 50lbs.

Work Environment:

  • Must be able to sit long hours at a desk and work on a computer. Must be able to travel around campus to meetings and various units of the university.

Travel Requirements:

  • Professional growth and development training, seminars, conferences.

Driving Responsibilities:

  • Limited. Drive a golf cart around campus and run local errands as needed.
