About This Role:
This position provides complex administrative support to department or work unit. Interprets andexplains policies and procedures and resolves problems or complaints as necessary. This job titleprovides customer service by greeting and assisting customers; taking incoming calls and routingcalls to the correct office or person; copying and distributing messages within the office; andanswering questions from students, faculty, staff, and the public.

What You'll Do - Position Duties

As a member of our team, you will have an impact on our clients through accomplishment of the following responsibilities:

  • Maintains and reconciles budgets for department or unit.
  • Maintains office supplies for faculty/staff by purchasing as needed or as requested.
  • Monitors expenditures and performs simple analysis on accounts.
  • Research discrepancies, seek solutions, and prepares special and recurring reports.
  • Builds and maintains class schedules. Creates and maintains hiring forms for faculty, staff, and student-workers.
  • Creates and maintains records and filing systems for technical, financial and project files.
  • Maintains department or unit filing systems; retrieving information and files as requested; ensuring security of personnel files; ensuring confidentiality of information; following guidelines for the destruction and removal of files and confidential employee information; and tracking files and information as appropriate.
  • Plans and arranges conferences, meetings, and related accommodations. Types letters, memos, registration forms, badges, etc. for meetings. Compiles and disburses information for meetings. Performs duties related to travel, arranging catering for special events.
  • Prepares monthly budget reports; preparing university documents; maintaining inventory reports; and acting as a courier for transport of mail and supplies to/from on-campus centers, departments, and offices.
  • Runs reports on graduate and undergraduate student enrollment, graduation as required by the chair.
  • Prepares paperwork related to specialized functions of the department or unit.
  • Researches, summarizes, and analyzes information. Calculates statistics and compiles data

Minimum Qualifications:

What You'll Need to Succeed - Minimum Qualifications

To be successful in this role and a great addition to our team we need you to come with the following:

  • Two year associate degree, diploma or equivalency from a college, technical, business, vocational, or correspondence school
  • Minimum of three (3) years of secretarial/clerical experience.

Key Competencies

  • Working with spreadsheets, word and other office productivity software, ability to work with various software and management systems used by Lamar University to maintain student records and other pertinent information. Proactively obtain information and help students as required.

Physical Requirements:

  • Sedentary, exerting up to 20 lbs. occasionally or negligible weights frequently; sitting most of the time.
