Position Overview: Provide administrative support to Commercial Sales, Government Sales and Actuarial and Underwriting Departments to manage producer and agency appointments and terminations. Provide customer service by phone and email to brokers. Monitor commission calculations and payment.

Essential Responsibilities:

  • Process newly appointed and terminating agents and agencies for both Commercial and Government lines of business. Maintain agent contracts and agent data in all applicable systems, including Facets and OnBase. Ensure accurate records, files, and reports are in compliance with all Centers of Medicare and Medicaid Services (CMS) and state Departments of Insurance (DOI) requirements.
  • Work closely with Government Sales Staff to process yearly reappointments. Complete weekly reports and collect all required documents.
  • Communicate with appointed and prospective agents and internal sales staff, providing professional interaction and exceptional customer service.
  • Process agent and agency demographic and contract changes.
  • Coordinate notification of appointments and terminations of agents to the Idaho Department of Insurance, Washington State Office of the Insurance Commissioner, and Montana Commission of Securities and Insurance, via a third party vendor.
  • Monitor compliance of Errors and Omissions insurance and Health license for appointed agents and agencies. Maintain spreadsheet. Notify applicable Sales staff of impending terminations.
  • Maintain required documentation for all appointed and terminated agents and agencies.
  • Process agent-of-record changes received from agents, groups, or individual policyholders for both Commercial and Government lines of business.
  • Monitor the InTouch for Agents queue. Troubleshoot and resolve InTouch issues for agents.
  • Register, troubleshoot, and resolve iStore issues for agents.
  • Monitor the Agent Coordinator email queues for both Commercial and Government lines of business.
  • Research commission issues for agencies and/or agents.
  • Process monthly internal commissions for new Individual membership and send to Department Manager and Finance for approval.
  • Review bi-monthly commission reports and make corrections or coordinate with appropriate person for both Commercial and Government lines of business.
  • Obtain approval in writing from applicable member of the Executive Management Group for retro-adjustments or exceptions outside of contract guidelines, and process adjustments accordingly.
  • Work with a third party vendor to release commission checks and statements. Collaborate with Finance on related commission issues and electronic funds transfers. Obtain sign off from applicable staff member before releasing funds.
  • Coordinate Assist the Sales team in the coordination of mass mailings of contract revisions.
  • Maintain negotiated commission forms file and prepare reports upon request. Ensure forms reflect current commission, and have the appropriate dated signatures of approval.
  • Maintain Client Relations Management (CRM) data. Use reports within application for E&O and License renewals.
  • Develop and update procedures and job aids as needed.

Supporting Responsibilities:
  • Assist management teams with projects as needed.
  • Act as backup to other Agent Coordinators as needed in our Commercial and Government lines of business.
  • Serve on various interoffice committees, as required or needed. Document and report any pertinent communications back to Manager, Team Leaders and team members.
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.

Work Experience: Two years of administrative experience is required. Health insurance industry experience is preferred. Advanced PC skills, including spreadsheet data management and software skills is required. Strong research and troubleshooting skills is required.

Education, Certificates, Licenses: Requires high school diploma or equivalent. Associate's Degree in business or healthcare, or equivalent related work experience.

Knowledge: Excellent public relations and communication skills, both written and verbal. Exceptional grammar, spelling, punctuation, consistency, proofreading, and editing skills. Strong reporting and organizational skills. Excellent interdepartmental collaboration. Basic math skills required, including percentages, ratios, graphing, and spreadsheet skills. Requires ability to define and prioritize problems and manage workload. Strong planning, organizational and problem-solving skills.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately less than 5% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
