BASIC FUNCTION:

This position is responsible for the strategic vision, development, and implementation of the comprehensive marketing and digital engagement efforts for all events supported by the Claremont McKenna College Office of Events. Reporting to the Acting Director/Director of Events, the Associate Director will be very customer service-oriented, meeting with campus partners to evaluate the needs of the event, create a strategy for coordinated registration and attendance, and tie into the overall engagement metrics assigned to the event. The person must be adept at working collaboratively and cross-functionally to ensure the goals of campus partners and the College are achieved.

DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:

  • Independently develop and manage a comprehensive marketing, communication, and digital engagement strategy for priority internal and external events supported by the Office of Events and develop expanded efforts for increase attendance through personal outreach and engagement. (35%)

  • Utilize marketing and branding knowledge to create compelling and effective communication and publications across multiple platforms, including, but not limited to, email, print, social media, and web, for all events supported by the Office of Events. (20%)

  • Approve and manage the distribution of all communications through the Office of Events, including sending and receiving correspondence by both mail and email; map client invite list to database profiles. (20%)

  • Support the maintenance of the events database and ensure accuracy of reporting. Analyze and utilize data engagement metrics for communication enhancements and optimization of targeted invitation distribution, ensuring the right people are attending events, to drive strategic outcome expectations for events. (10%)

  • Manage the implementation of virtual and digital event engagement platforms for all in-person College events. (10%)

  • Oversee and manage the comprehensive event and communication calendar on behalf of the Office of Events for the campus. (5%)

  • Provide graphic design services as needed.

  • Perform other essential duties and tasks specific to the position and other duties as assigned.

QUALIFICATION STANDARDS:

EDUCATION: Bachelor's degree in communication, marketing/branding, hospitality, or a related field or equivalent combination of education and experience is required.

EXPERIENCE: A minimum of 5 to 7 years of communication and marketing experience associated with in-persons and virtual event planning with increasing responsibility in project management and strategic marketing analytics is required.

Experience with data driven targeted event planning, segmentation, strategic analysis to support audience generation, and follow-up is required. Experience in all stages of planning, design, and production of events, including contract negotiation and design concepts that support event goals is preferred. Proven experience delivering successful targeted events to drive strategic outcomes, on time and within budget. Experience at an academic institution is preferred.

LICENSES: A valid driver's license or equivalent means of reliable transportation to off-site meetings and events is required. A valid driver's license is required to drive College-owned vehicles and the ability to be insured under the College's authorized driver's policy.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES: Individual must possess knowledge, skills, and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of knowledge skills and abilities.

  • Must understand and communicate the mission and history of the College's liberal arts environment, including work with faculty, students and alumni.

  • Deploy professional skills in collaboration with colleagues to best promote the College's strategic interests.

  • Familiarity with all stages of planning, design, and production of events. Management and oversight skills to manage facilities and all event details, including decor, catering, entertainment, guest lists, transportation, venue preparation, special guest requirements, all necessary equipment, promotional and marketing materials, etc. Ability to successfully managing all elements within time limits and on budget. Ability to negotiate contracts.

  • Demonstrate effective, accurate, and clear communication with excellent verbal, written, interpersonal, reading, phone, and customer service skills. Follow all written and verbal instructions, asking questions as needed for clarification of projects/tasks/assignments.

  • Operate computers proficiently with essential Microsoft Office software (such as Word, Excel, Outlook, PowerPoint, Google Docs) to manipulate attachments and associated professional software (such as Raiser's Edge, prospect research tools, Internet research, menu-driven databases, social media, Workday). Use assigned technology/devices/equipment to achieve annual goals and maintain confidentiality.

  • Demonstrate proficiency in using Adobe Creative Cloud programs.

  • Handle all activities and highly confidential information with patience, discretion, good judgment, courtesy, and tact while working with people from a wide variety of backgrounds.

  • Independently use exceptional organizational and time management, planning, and priority skills to complete work with accuracy and keen attention to detail by established deadlines, including the ability to effectively track the status of ongoing projects and find needed documents and information quickly.

  • Ability to receive and respond appropriately to constructive criticism.

  • Ability to display a positive attitude, collaborative spirit, sense of humor, and a service-oriented attitude.

  • Ability to multitask and be flexible with competing priorities and support numerous initiatives and professional staff members.

  • This position may require the ability to lift materials and supplies for events, such as floral arrangements, chairs, podium, etc., up to 50 pounds.

OTHER:

HOURS: The regular hours for this position are 8:00 am to 5:00 pm, Monday - Friday. Holiday, weekend and evening work hours will be required. Travel may be required. Regular hours may vary and exceed 40 hours per week due to needs of the College or division. This is a 12-month position.

A CSA is a key partner in helping the College comply with the requirements of the federal Clery Act, the goal of which is to provide information about safety and crimes on campus. Because crimes are often reported to employees who are not law enforcement or campus safety officers, the Clery Act obligates the College to identify who on our campus is likely to receive such reports and inform them of this role and responsibility and train them on what to do with that information. As a result of this designation, upon hire, and periodically thereafter, you are required to take the Clery Act training course.
