We can count on you to:

Provide consistent support to colleagues to whom you are assigned by performing tasks such as the following, proactively, effectively and timely:

  • Prepare the team for renewal activity by renewing and updating existing client programs in the systems and creating files as required
  • Assist BSS placement associates in first draft data exhibits in Excel for review
  • Assist BSS placement associates with certain information for preparation of market lists
  • Send reinsurance contracts to parties for signature as instructed by contract drafters and in accordance with procedures
  • Call, and occasionally email, contract document recipients following up for signature. Professional persistence is required.
  • Track and update contract send and signing status in the system, coordinating with contract drafter for status when escalated per procedures.
  • Review and action signatures received in a group mailbox
  • Identify inconsistencies in signatures received and raise to contract drafter for assessment and direction
  • Scan/upload and name all contract documents as received from reinsurers, Clients and/or Analysts/Associates and transmit completed signatures.
  • Draft basic business communications as requested ensuring all documents produced adhere to MMC's style guidelines
  • Provide status reports according to procedure and upon request.
  • Assist with coordinating reinsurer audits as requested
  • Assist with preparation of supporting materials, at the direction of the BSS placement associates, for client trips or visits
  • Update contacts in systems and request reference numbers associated with client programs, as requested.
  • Other business administrative work as requested by BSS colleagues or managers
  • Support placement associates providing client and broker with comprehensive meeting book for marketing trips and convention attendance.

Business Knowledge
  • Maintain broad understanding of the environment in which BSS operates and progressively learn more about the transactions that BSS colleagues handle for Guy Carpenter clients.
  • Using the Market Reference Guide, develop an understanding of the differences between the reinsurer who bears the risk on the contract versus the parent or group entity to ensure proper legal reinsurer name is entered in systems and correct financials and NAIC codes are accurately communicated to clients.
  • Learn and apply knowledge of London market to contract and system finalization work.
  • Participate in team meetings and activities to share opinions, ideas, knowledge and solutions; maintain strong working relationships and participate in initiatives and/or contribute where required to deliver outcomes. Seek opportunities to increase own understanding and improve the services provided in support of BSS colleagues.

Compliance and Regulatory Review
  • Ensure all records/forms for assigned accounts are properly completed and stored in accordance with policy.
  • Understand all best practice procedures and compliance policies. When new procedures are provided, understand and adopt new procedures as rolled out, take required training and speak up with any question or concerns uncovered in your role at Guy Carpenter.
  • Follow all best practice procedures and compliance requirements, including but not limited to building a complete placement file as the placement progresses to minimize errors & omissions.

Office Services
  • Organize office moves and coordinate with facilities
  • Welcome and make arrangements for office visitors
  • Liaise with building management, facilities and onsite service vendors, as appropriate
  • Liaise with HR in regard to new hire on-boarding/off-boarding

  • Attend team and departmental meetings

What you need to have:
  • Associate's Degree and applicable or transferrable experience preferred.
  • 3-5 years in a corporate environment strongly preferred; related experience in compliance and/or client written communication a plus.
  • Strong interpersonal skills for establishing and maintaining good internal relationships and interactions with colleagues and peers.
  • Good verbal and writing skills for interaction with internal GC colleagues at various levels.
  • Strong ability to prioritize workload according to volume, urgency, etc.
  • Strong organizational skills and the ability to pay attention to detail, multi-task and keep track of long term projects or matters.
  • Good problem-solving skills to identify problems and to begin to formulate resolutions and recognize when to escalate to manager.
  • Good computer skills. Proficient in Microsoft Products.
  • Well-versed with office equipment (e.g., copiers, conference room equipment, binding machine, etc.)
  • Ability to prioritize workload according to volume, urgency, etc.
