Overview / Responsibilities

Wood has an exciting opportunity for a Contract Administrator/Commercial Coordinator based in our Hermiston, OR office. This position is responsible for effectively and professionally conducting and coordinating the activities associated with pre-contract and commercial issues in our Heavy Civils construction business. The incumbent shall require a thorough knowledge and understanding of contract and legal concepts, principles and practices, and the techniques of ensuring task completion, project delivery processes, and Customer/Subcontractor relationship expectations. The incumbent understands the role of contracting in the project delivery process and the value-added expectations and performs assignments in accordance with established Company policies and procedures.

Key Responsibilities

  • Assisting with the drafting of contractual instruments including sub-contracts and purchase orders.
  • Ensuring adherence to company governance requirements through the bidding and contracting phase of project capture and start-up.
  • Provide tracking of subcontract activity, progress information, and guidance to project personnel on subcontracting issues, with specific attention to change management and financial status
  • Coordinate closely with Construction, and all other disciplines for continuity and overall program effectiveness
  • Ensure budget compliance issues are addressed and draft subcontracts
  • Coordinate client contract review with Commercial/Contract Group
  • Maintain records of internal approvals adhering to internal Delegation of Authority (DoA) and assist with maintenance of registers and databases.
  • Utilize established policies, procedures, systems, and tools to assure maximum contribution of the pre-construction process
  • Assist with Licensing and Insurance considerations
  • Assist Procurement Management in providing other support services as requested
  • Project set up and schedule of values in Viewpoint
  • Review contract changes of sub-contractors and purchase orders
  • Review and track all project change orders; including Heavy Civils client, vendors, and sub-contractors
  • Track Heavy Civils client and sub-contractor insurance and bonds
  • Create and maintain comprehensive project documentation, plans and reports.
  • Organize subcontractor cost control, change orders, purchase orders and proposals, some accounting history
  • Acquire Notice to Owner and Lien Release


Skills / Qualifications

Overall Knowledge of Business
  • Understands the project delivery processes as used for various contracting scopes (i.e. construction management, design-build, EPC) and their relationship to Enterprise Procurement procedures
  • Understands the major technical, organizational, managerial, and business issues related to operations management

Communications
  • Has good oral communications and writing skills
  • Effectively compile, organize and manage contract documents
  • Must be able to effectively communicate with contractors, project teams, and others to organize and motivate them to achieve

Education/Experience
  • Degree in Business, Law, Engineering or other applicable field, with work experience in Purchasing / Subcontracting or accounting administration preferred
  • Minimum of 5 years' experience
  • Experience working on medium to large heavy civils projects, subcontracting and contracting, preferred
  • Knowledge of Viewpoint Vista
  • Previous experience in cooperating with Project Managers for the delivery of projects
  • Solid organizational skills including attention to detail and multitasking skills;
  • Strong working knowledge of Microsoft Office and of project management tools;
  • Knowledgeable in AIA G702, 703 pay applications and AIA 101 contracts is required
  • Proficient computer skills in Microsoft Office programs.

Authorization to work lawfully in the US without sponsorship from Wood is required .
