Job Summary: The Coordinator supports the Director and Assistant Director for Intersessions, assisting with course scheduling, student recruiting, social media, website maintenance, communication with students, faculty, and staff, and event and meeting coordination. The Coordinator also supports the office mission to provide student-focused and integral courses in intensive academic sessions outside of Fall and Spring semesters. The Coordinator provides advice and support for SMU students participating in Intersessions courses (Jan Term, May Term, June-July Sessions). This position is the first point of contact for individuals who visit, call, or email the office. About SMU Intersessions:

SMU Intersessions supports courses delivered in winter and summer breaks on the Dallas campus or online. The Intersessions office manages a Jan Term, May Term, and various summers sessions scheduled in June & July. These programs provide scheduling flexibility that helps students stay on track to graduate on time when they find they cannot fit all of their requirements in Fall and Spring semesters. Intersessions staff engage students and parents at marketing events, they assist with enrollment and advising related questions, and they provide support to students and faculty while terms are in session. The office maintains contact with academic departments across all undergraduate schools and works closely with other campus partners including enrollment services, advisors, student affairs, and others.

Essential Functions:

  • Develops and maintains effective relationships with students, faculty, and advisors, and numerous other campus partners. Serves as communications liaison for Intersessions: answers phone inquiries, responds to program email, and maintains the office calendar, including scheduling meetings.

  • Supports Intersessions marketing efforts. Works with social media platforms, website, email lists, etc. Plans and makes preparations for student-facing events on campus. Engages students at events that help promote January, May, and Summer terms.

  • Supports enrollment management for Intersessions. Maintains Intersessions enrollment database. Prepares Intersessions course information for distribution on websites & other platforms. Maintains schedule of classes, setting up courses for Intersessions programs. Handles routine student issues including student petitions and cancellation forms, scheduling, or advising issues.

  • Manages accounts with vendors and handles other departmental purchasing. Prepares contracts for adjuncts and lecturers. Manages work study students and graduate assistants as required. Coordinates special projects and performs other duties as assigned.

Qualifications

Education and Experience:

A Bachelor's degree is required. Master's degree preferred.

A minimum of two years of work experience is required, preferably with work experience in higher education.

A working knowledge of academic advising, student affairs strongly preferred. Experience working with diverse populations desired. Knowledge of SMU curriculum and programs is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal, written, and verbal communication skills, to interact effectively with a wide range of constituencies (faculty, staff, students, parents). Must also have a strong customer service orientation and high degree of professionalism. The ability to interact with students in an engaging manner is essential.

Candidate must have strong organizational skills; effective planning ability; strong attention to detail and accuracy; and the ability to oversee multiple tasks in a deadline-driven environment.

Candidate must have a strong proficiency using MS Office (especially MS Excel, Word, and Outlook). Experience with web content maintenance, graphic design, social media, and/or video editing platforms is desirable. Experience with Peoplesoft (my.SMU), Microsoft Team and/or Qualtrics a plus.
