The Research Space Management Group (RSMG) is responsible to ECOR and the SVP for Research for all aspects of research space allocation and configuration.
The department is responsible for collecting, analyzing, interpreting, and summarizing all information regarding allocation and utilization of research space. The department monitors the utilization of space owned or leased by MGH for the purpose of research activities and is responsible for the identification of space utilization trends involving this space that may indicate that some space is not being to the best and highest possible use. RSMG investigates the circumstances surrounding these situations and prepares recommended resolutions for review by the Research Space Advisory Committee (RSAC) and, if necessary, by the Research Institute Executive Committee.
RSMG reviews recommendations for reallocation of existing research space, occupancy plans for new research space, and recommendations concerning the most efficient use of under-utilized research space.
In cooperation with RSAC and the SVP for Research, RSMG is responsible for the development of a set of measurable research metrics to be applied to various research entities in an equitable manner. These metrics will include, but might not be limited to, IC density (IC recovery per square foot), MTDC density (MTDC per square foot), FTE Occupancy ratio (percentage of occupied seats vs. available seats), and FTE density (square foot per FTE).
RSMG is also responsible for maintaining the hospital research asset management system in accordance with appropriate government and hospital accounting policies and is a key participant in Partners iSuggest program.
The Department has responsibility for management and operation of MGH's major research buildings, with the goal of facilitating the paradigm of interdepartmental collaborative science, promoting cost reduction and reducing administrative demands on the MGH research community.
General Summary
Working under the direction of the Director and in collaboration with departmental staff, participates as a member of a team working to manage and coordinate space utilized by researchers. Will provide support to office operations and RSMG projects. Will complete database updates, equipment tracking and asset audits and data/documentation preparation. Will serve as a resource to the team and laboratory personnel for space management and related project needs.
Principal Duties and Responsibilities
Serves as a contact for laboratory personnel to provide/receive information related to RSMG programs and projects.
Provides support to department staff in the completion of projects and assignments, such as to disseminate materials and create documentation and files.
Completes updates to databases and performs data entry to track research space, equipment and related information for the efficient use of research space. Ensures accuracy and quality of information entered.
Assists with research capital equipment inventory. Updates the asset database and maintains accuracy of records based on field verification and department correspondence.
Participates in departmental initiatives, such as audits and end-of-year certification, by providing documentation, confirmation notices and conducting physical tracking of assets.
Makes recommendations related to own work complement for organization and efficiency. May research new methods and resources for work process and improvement.
Participates in the ongoing development and utilization of the RSMG Research Space Management System (RSMS) automated decision-making support system.
