Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

The Emergency department Registrar performs a variety of clerical and patient service duties necessary to maintain efficient flow of operations in the Emergency department, Urgent Visit Center and Women's Visit Center areas. The Registrar often serves as the first contact patients have with the system.

Essential Functions and Responsibilities

  • Proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County. Models Eskenazi Health values
  • Registers patients by validating demographic information, identification of appropriate payer sources, executing general consent form authorizing treatment and securing and imaging appropriate documents (photo ID, insurance cards, etc.) into OnBase Front Office Scanning
  • Adheres to all quality and productivity standards defined by the department
  • Collects prepayment for pending services (when applicable) and co-pays as defined by patient insurances for emergency services
  • Reconciles the cash activity log
  • Ability to work in any Emergency department related locations and any segment of the processes in use - QER, Update to EMD, WVC or UVC registration, Cash Desk/Checkout and chart breakdown
  • Follows appropriate policies and procedures in production at each area.
  • Matches and retrieves appropriate patient from McKesson STAR MPI
  • Establishes priorities, meets deadlines, and follows written and verbal instructions
  • Follows downtime manual processes with little or no supervision
  • Interacts with local, state, and federal officers and inmates to identify appropriate payer sources
  • Checks-out patients via the "discharge/checkout" functions in McKesson STAR
  • Directs patients to financial counselors when no payer is identified and/or patient has outstanding balance
  • Informs patient and/or family of the patient obligation policy
  • Determines if reason for visit is work related (workmen compensation claim)
  • Accountability for accuracy of data collected and entered into systems. Ability to maintain a passing grade on monthly audits
  • Electronically (Kramer, Web Interchange, Eskenazi Health Advantage web site, etc.), or telephonically verifies patient's insurance eligibility and benefits
  • Utilizes Kramer system to verify address provided by patient
  • Tracks patient location via Picasso tracking system
  • Interacts with clinical and non-clinical staff in professional, efficient, and friendly manner
  • Adapts activities/behaviors to reflect and ensure adequate service appropriate to the age of the patients served (i.e. neonatal, infant, pediatric, preschool, school-age, adolescent, adult, and geriatric)

Job Requirements

Minimum of one (1) year experience in business, office management or health information management. High School Diploma or (GED with post-secondary education courses or certification in business, computers, and Office Management. Associate's degree preferred
  • Must complete outpatient registration program and pass the exam with a score of 90% or higher, in addition to annual competency exams as required
  • Must take and pass Registrar pre-test with score of 90% or higher

Knowledge, Skills & Abilities

  • Exceptional customer service and patient interviewing skills
  • Working knowledge of insurance and third party payers, ED registration, patient billings and accounts processes
  • Knowledge and ability to use remote terminals, McKesson STAR registration system, Windows systems, and Internet Explorer web based applications
  • Must be able to demonstrate knowledge of business applications and standard office equipment
  • Demonstrates a positive demeanor and good oral/written communication skills with the ability to use age appropriate communications, and be professional in both appearance and approach
  • Must be detail oriented, possess appropriate mathematical skills, and have analytical skills to resolve registration issues
  • Passes annual competency exams as required
  • Maintains 95% accuracy on registration data audits
