JOB SUMMARY

Provides office and administrative support for an individual executive or small number of executives in their day-to-day activities.

WHAT YOU WILL BE RESPONSIBLE FOR

  • Coordinates all office and administrative support duties including answering the telephone, directing calls to others as appropriate, operating high-tech video and web conferencing equipment, making arrangements for visitors, creating expense reports, timekeeping, processing and coding invoices, arranging travel, managing records and documentation, and other corporate administrative needs
  • Manages respective department executive's schedules including special meetings and preparing agendas
  • Ensures executive is on schedule with appropriate materials to be reviewed before all meetings and is well informed and prepared
  • Prepares, coordinates and manages travel plans for the respective department executives
  • Performs financial tasks including processing invoices, preparing payment requests and preparing reports on general and administrative expenses and/or department goals
  • Uses various PC software packages to prepare reports requiring some analysis and to produce a variety of presentations as necessary
  • Keeps record of budget status and provides reports
  • Supports significant projects that require a high degree of confidentiality and adheres to the highest standards of ethical behavior when carrying out job responsibilities and interfacing with others
  • Exercises initiative, judgment, and knowledge of company policies, practices, and the organization
  • Understands executive's plans and objectives, reads and interprets activities, and anticipates opportunities that assist in meeting those plans and objectives
  • Handles matters for the respective executive in their absence
  • Plans events for the team
  • Acts as a liaison between respective executive and internal and external clients
  • Performs other related duties to meet the ongoing needs of the organization

QUALIFICATIONS
  • High School Diploma or GED required
  • A minimum of 8 years related experience is required; oil and gas industry related experience required
  • Strong communication skills, interpersonal skills and ability to build relationships
  • Excellent interpersonal, organizational and teamwork skills
  • Solid knowledge of general office practices
  • Customer service oriented
  • Proficient in Microsoft Office products (Excel, Word, PowerPoint, etc.)
SPECIAL DEMANDS
  • This job primarily operates in a professional office environment and routinely requires the use of standard office equipment such as computers, phones, copy machines, etc. Noise level is typically low. Frequently in a stationary, sitting position for prolonged periods of time. Regularly moves about inside the office to complete tasks, attend meetings or to access the copy machine or file cabinets. Periodically pulls/pushes doors open to move around the office. Occasionally may lift and carry objects up to 20 pounds.
