We are actively hiring for an Executive Assistant to join our team. Join us and support CSAA Insurance Group, a AAA Insurer, in achieving our goals! As a member of our legal team you will support the Senior Director, Corporate Compliance and Employment, and Director, Commercial Transactions, and their functions at our Walnut Creek office. These executives oversee the company's center-led compliance program, including privacy; legal consulting and advice for HR organization; and legal consulting and advice for our contracting, marketing, and intellectual property needs.

Essential Responsibilities

The primary responsibility for this member of our legal team is to support the needs of two executives and their teams. You will assist them with organizing, reminding, prioritizing and managing their time to meet all deadlines and assist with projects. You will manage scheduling of all internal and external meetings, travel plans, conference calls and day to day activities for these executives and will be called upon to assist the members of their teams. You will play a key role in ensuring that various reports are generated and distributed, and you will prepare and/or proofread documents, messages, presentations and materials for meetings. You will need to be flexible and creative in supporting our work, for example documenting processes or organization information for knowledge management. .

Other duties may include:

  • Preparing agendas, materials and minutes for meetings and coordinating follow up with meeting participants on tasks/issues as appropriate;

  • Reconciling corporate credit card account(s) and preparing expense reports;

  • Typing memos, purchase requisitions, payment requests and other department forms and documents;

  • Opening and closing of files and filing and retrieving documents and reference materials;

  • Performing highly confidential administrative support on matters such as employment litigation and confidential settlements and internal investigations;

  • Obtaining signatures on contracts using DocuSign or similar electronic systems; and

  • Interacting with Legal Division business partners which may include senior executives external to Legal.

What would make us excited about you?

  • 8+ years of executive assistant experience to senior level executives in a mid-to large company

  • BS/BA Degree or some college coursework preferred

  • Experience working in an in-house legal department a plus

  • Must have a positive attitude and ready ability to collaborate with others and support teamwork

  • Ability to learn and adapt to the executives' work styles

  • High attention to detail and accuracy

  • Comfortable with ambiguity, and working iteratively to develop solutions to new needs

  • Ability to be very discrete with confidential information and handle all matters with tact

  • Strong skills in developing effective relationships, communicating, and managing expectations in a fast paced organization

  • Strong ability to effectively communicate with personnel at all levels throughout the company and with external contacts

  • Acts independently and demonstrates effective conflict resolution skills and resourcefulness in developing recommendations and solutions to solve complex issues in an effort to anticipate senior executive needs

  • Able to prioritize and manage multiple tasks, activities and projects

  • Able to understand and navigate through processes and issues to get the job done in a timely and efficient manner

  • Strong written communication skills, including proofreading, with experience using technical and business vocabulary and able to understand company operations, organizational procedures, and resources

  • Quality computer aptitude with the ability and willingness to train others in system usage

  • Expert in Microsoft Word, Excel and PowerPoint system applications

  • Able to work primarily in an office environment requiring the following physical activities: lifting and carrying boxes weighing up to 20 pounds; bending and kneeling to retrieve and replace files; Approximately 60 - 80 percent of time spent on the job involving the use of a computer

In compliance of Colorado's Equal Pay for Equal Work Act (EPEWA) we are disclosing the compensation, or a range thereof, for roles that will be, or could be performed in Colorado. If performed in Colorado, this position has a salary range of $79,000-$94,000 with an opportunity for a company-wide annual discretionary bonus, through our Annual Incentive Plan (AIP), of up to 5% of eligible pay.
