Overview

The School of Public and International Affairs (SPIA) seeks to hire a highly motivated individual to fill the position of Financial Analyst within the Financial Management Office (FMO). This position reports to the SPIA Finance Manager and works together with the FMO team. The Financial Analyst is responsible for the review and approval of payments, creation of contracts, FMO liaison for administrative support meetings, assisting with staff training in the use of university financial systems, maintenance of relevant financial databases, updating the FMO website, and performing financial analyses. The financial database involves the upkeep of school faculty research accounts from recording funding agreements to ensuring joint accounts have been funded each fiscal year. This involves monitoring account balances and ensuring accounts are not overspent.   The position will assist in the oversight of journal entries, especially at the close of the fiscal year. Also, this position will assist with preparing budget templates for the various sub-departments within SPIA.

 

The position requires that the individual works closely with our faculty administrative support staff in the core and center/program departments within SPIA, along with the Princeton University Office of Finance and Treasury (F&T).

Responsibilities

Specific Responsibilities:

  • Reviews and approves vouchers and credit card transactions submitted in Concur and Prime. Checks for proper receipts, chartstrings, and expense codes. Applies knowledge of university policies and procedures and generally accepted accounting principles. Notifies expense report preparer of any errors and returns items in need of correction.                                                                                                   
  • Assists with staff training on the use of financial systems such as Concur and Prime. Such training may take place in a classroom setting, remotely, or one on one. Keeps track of the latest system updates and relays them to staff.
  • Stays current on university policies and procedures relating to payments, contracts, and financial transactions. Assists with updating the FMO website as changes to policies and procedures become known. Utilizes this knowledge when reviewing the work of others and imparts this knowledge to staff.
  • Must become familiar with SPIA faculty research accounts and be able to compute income allocations based on specified agreements and projected balance. Perform account analysis when needed.
  • Assists in maintaining the FMO financial records. Ensures research account funding is spent according to current agreements. Tracks financial commitments versus actual expenditures.
  • Assist users with developing contracts utilizing Princeton's standard templates.                                                                                                                        
  • Assists in the fiscal year closing process.                                                                                                    
  • Performs other special projects as assigned by the SPIA Finance Manager or the SPIA Finance Director.                                                               
  • Other duties as assigned.
Qualifications

Essential Qualifications:

  • Bachelor's degree
  • 2 - 4 years of experience in a high-volume office setting. including work related to finance and business
  • Excellent computer skills and proficiency with Microsoft Office
  • Exceptional oral and written communication skills to communicate clearly and concisely
  • Self-starter and ability to multi-task by prioritizing work effectively as contracts and payments are time sensitive
  • Excellent analytical skills
  • Must be a team player who collaborates, is willing to assist, and learns new systems when needed
  • Must be personable and have a good sense of humor

Preferred Qualifications:

  • Experience in a non-profit or academic setting highly desired
  • Knowledge of the Princeton University chart of accounts
  • Knowledge of contracts/agreements and business expense/travel policies
  • Experience within Excel creating pivot tables and using formulas
  • Experience with Peoplesoft (Procurement Work Center), Cognos (Prime Reporting) and Concur-Travel and Expense System
