HR Coordinator

HelpSystems is looking to add a HR Coordinator to the team. The HR Coordinator is responsible for supporting the US HR team in a variety of HR areas. This position will work closely with employees and managers to foster a positive work environment - both virtually and in the physical office.   

KEY DUTIES 

 Onboarding support 

  • Prepare new hire desk/office space, providing welcome gift and office supplies 
  • Coordinating new hire agenda, including emailing final agenda to new hires 
  • Track peer mentors & send guide; track returned checklists; create & email certificates 
  • Upload new hire headshot to ADP 
  • Email virtual Geek U program materials: review and share survey feedback; create and email diplomas upon completion 
  • Complete I-9 forms and complete E-verify 
  • Schedule executives meet & greets 
  • Assign LinkedIn Learning licenses  

 Offboarding support 

  • Emailing exit information and FAQ 
  • Create shipping labels for equipment return 
  • Coordinate in-person equipment drop-off as needed 
  • Submit term form 
  • Schedule exit interview  
  • Remove LinkedIn Learning license  

 Training support 

  • Schedule manager forums 
  • Schedule HR office hours 
  • Schedule new manager trainings  
  • Schedule HR training sessions for newly acquired groups 
  • Add/remove users to Yammer groups (i.e. manager group)  

 Miscellaneous  

  • Prepare monthly company meeting slide decks for HR  
  • Uploading documents to ADP Doc Cloud (new hire docs & term docs) 
  • Manage staffing activity spreadsheet 
  • Communications in Yammer like peer mentors, new hires, promotions 
  • Monitoring HR inbox and forwarding to proper HR team member 
  • Creating, sending, and downloading DocuSign documents/agreements 
  • Tracking of agreements/filing/saving in ADP 
  • Support of visa paperwork, file management, and required postings/notices 
  • Participate in HelpBrigade committee and DEI council and provide administrative support in these areas as needed  

 BASIC QUALIFICATIONS

  • Proven experience working in a virtual environment 
  • Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook 
  • Excellent interpersonal communication 
  • Excellent time management skills and ability to multi-task and prioritize work 
  • Proactive and "can do" attitude with strong problem-solving skills 
  • Ability to present self in professional manner 
  • Ability to maintain a high level of confidentiality
