Administrative Services provides support to ZS professionals as they complete their work. The administrative services team provides administrative support, travel-planning operations, catering coordination and facilities management.

HUMAN RESOURCES ASSISTANT/UNIVERSITY RECRUITING

We seek a HR Assistant to join our Human Resources team in our Evanston, Illinois office. The HR Assistant provides administrative support and implementation for our North America university recruiting program and reports directly to the University Relations Lead.

Responsibilities:

  • Assist with university recruitment initiatives. Works with the University Relations team for calendar planning, event registration/preparation and job posting;
  • Schedule interviews for University interview days and office interviews;
  • Provide logistical information to candidates prior to interview;
  • Coordinate interview logistics with local office administrative contacts to ensure a seamless candidate experience;
  • Maintain an orderly candidate filing and record retention system. Assist in compiling candidate interview folders;
  • Maintain university positions in applicant tracking system: open requisitions, track candidate interviews, reporting and updating, system updates;
  • Reconcile billing and ensure that University-related invoices are paid accurately and promptly;
  • Perform general clerical duties related to University recruiting - reporting, filing, photocopying, meeting set-up, processing mail, etc.;
  • Serve as a logistical resource and point of contact for candidate during interview process;
  • Assist in the maintenance and distribution of recruiting reports;
  • Facilitate candidate background checks for University hires;
  • Maintain inventory of university recruiting supplies and collateral;
  • Perform other duties as assigned.
Qualifications:

  • Associate's degree required; Bachelor's degree preferred;
  • 1-3 years administrative experience; experience in a professional services environment strongly preferred;
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook)
  • Experience with applicant tracking systems and university recruiting systems desirable;
  • Demonstrated ability of strong organizational skills, attention to detail and prioritization skills;
  • Ability to work in a fast-paced environment while providing strong internal and external customer service in a professional manner;
  • Clear and professional oral and written communication; strong personal presence;
  • Strong multi-tasking and time management skills; understanding of how task completion supports team and firm performance;
  • Handle sensitive information with integrity and confidentiality;
  • Willingness to travel occasionally;
