Job Summary

This position acts as the single point of contact for the campus community in providing customer service for all key, lock, and card access related functions in Facilities. The incumbent has overall responsibility for the day-to-day administrative functions of this specific program area. Program functions include key and lock control, electronic card access management, work order processing, and reporting.

The Key Control Card Access Specialist administrates and monitors policy compliance for Facilities relative to the campus Key and Lock Policy and Decentralized Electronic Card Access policies. The incumbent monitors compliance of rules and processes related to the physical security of the passive campus security systems and provides added support of implementation and expansion of new door access startup projects and systems.

Develops and maintains the day-to-day work order processing assignments for the key and lock personnel including estimating man-hours required to complete the work (based on industry-specific data or historical data review), assessing and prioritizing work against available priority definitions, ensuring materials are on hand for scheduled work, and proper documentation of completed work in this shop including labor resources, expended material budget information, and contracted service provider expenditures.

Minimum Qualifications

• Three years of advanced clerical OR an equivalent combination of experience and training
• Two years of customer service experience
• Two years of experience in electronic record-keeping
• Proficiency in common software such as Microsoft Word and Excel
• Demonstrated competency in both verbal and written communication

Preferred Qualifications

• Prior work experience in the locksmith trade or electronic access controls industry
• Prior work experience with Vanderbilt Software
• Prior work experience with WebTMA Software
• 2 years' work experience in a Facilities, construction, and/or higher educational setting
• 2 years' work experience providing training services
• Continuing education and/or professional development within the last 5 years
