Job Description
The University of Miami Hospital Nursing team has an exciting full-time opportunity for a Master Scheduler. This individual will work three (3) days a week with required alternating weekend coverage.

Maintains daily Nursing staff schedule changes in a timely manner.

Monitors changes to and cancellations of Nursing Staff in accordance to UHealth policies and follows up with the appropriate Inpatient Manager.

Prepares bi-weekly and monthly payroll processing responsibilities during the pre and post process by reviewing assigned duties and taking corrective action as needed.

Review and audit payroll and system-generated reports/registers to ensure accuracy.

Review Kronos timekeeping system timecards for approvals and perform approval sign off functions prior to Kronos timekeeping system extract.

Complete Kronos timekeeping system extract, load extract information to Workday payroll system, and review and resolve discrepancies or errors, if any, for each pay cycle.

Resolve payroll system error messages related to on cycle payroll processing.

Obtain a thorough understanding of payroll and benefit polices.

Stay abreast of state and federal labor, tax and garnishment laws.

Provide exceptional customer service and follow through on all issues and inquiries received in a timely and accurate manner. Issues and inquiries addressed are of basic complexity.

Audit, research and resolve cases assigned from HR Information Systems for all payroll related issues.

Provide Workday and Kronos timekeeping system and clock troubleshooting support.

Ensure adherence to departmental standards and controls.

Assist with ad hoc payroll projects.

Communicates any issues to management and actively participates in any corrective activities.

Adheres to University and unit-level policies and procedures and safeguards University assets.

Education:

High School diploma or equivalent

Certification and Licensing:

Current BCLS for Healthcare Pro vider s.

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Strong analytical and problem solving ability.
  • General knowledge of office procedures and operations.
  • Skill in data entry with minimal errors.
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships.
  • Ability to work independently with limited supervision.
  • Basic payroll knowledge.

  • Advanced knowledge of Microsoft Excel.


Department Specific Functions

Approaches communication with the Nursing Staff, Managers and all others in a professional, courteous and positive manner. Utilizes a calm, friendly and professional approach when communicating with physicians, staff and visitors. Demonstrated ability to schedule staff in an organized manner to facilitate the smooth functioning of the unit(s). Demonstrates pro-activity in determining possible scheduling conflicts, reporting findings to appropriate management personnel, Nursing Supervisor and/or Executive Director of Nursing, and follow up with resolution. Complies with hospital policy and procedures and Department of Nursing Administration Rules and Regulations when scheduling staff members and reconciling payroll. Responsible for reconciling, coordinating and distributing the final schedule prior to end of prior shift. Demonstrates ability to answer phones quickly and professionally. Ensures a clean, safe and functional working environment. Performs miscellaneous duties as assigned. Attends departmental and/or unit-based meetings or acknowledges, review of notes/minutes on a weekly basis. Receptive to constructive criticism and responds in a positive manner as observed by supervisory personnel.
