Description

The Medical Admin Assistant's primary responsibility is to assist physicians, nurses and other medical personnel with administrative and clerical work. Duties may vary based on assigned physicians' practice and preferences.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Updates electronic medical records (EMR) with, office visit notes, hospital admissions, surgical procedures and other pertinent information received
  • Enters transcribed dictation into EMR and ensures office notes are sent to referring physician
  • Verifies that orders from office visit match the documentation so that charge tickets can be posted
  • Completes patient correspondence (STD, FMLA forms, etc.)
  • Maintains physician's calendar, scheduling depositions and arranging travel
  • Completes and submits expense reports on behalf of physician
  • Serves as gatekeeper for the physician by handling incoming calls, greeting/directing visitors, and processing mail
  • Completes personal requests from physician, as appropriate, and performs duties of fellow admin assistants when absent

Requirements

MINIMUM REQUIREMENTS
  • High school diploma or equivalent
  • Two (2) years' experience and/or training in a professional office or healthcare environment
PREFERRED
  • Medical Office Professional degree/certification
  • Experience working in a medical clinic or directly for a physician
  • Transcription experience
KNOWLEDGE, SKILLS & ABILITIES
  • Proficient in Microsoft Office (Excel, Outlook, Word), Internet software, electronic medical records (EMR) and practice management software
  • Strong working knowledge of medical terminology and office clinical procedures
  • Effective communication, both oral and written, with the ability to speak clearly and persuasively in positive and negative situations while listening and responding appropriately to questions
  • Self-motivated with the ability to work independently
  • Organizational skills with attention to detail
  • Ability to manage workflow and prioritize demands
  • Can identify ways to improve efficiency without sacrificing quality and service
  • High level of problem solving to identify and resolve problems in a timely manner with thoroughness and accuracy
  • Excellent interpersonal skills with the ability to manage difficult or emotional situations; responds promptly to patient/physician needs
  • Can provide excellent customer service while maintaining a high level of confidentiality and discretion
PHYSICAL REQUIREMENTS:

The employee is often required to sit for long periods of time and use their hands and fingers to manipulate keys on a keyboard. The employee is occasionally required to stand, walk, reach with arms and hands, and to stoop. The employee may occasionally lift and/or move up to 10 pounds. Visual and auditory capacity for frequent use of computer and telephone is required.
