What you'll be doing:

The Executive Administrative Assistant is responsible for the welcoming of all guests, visitors, prospective employees, and anyone else who visits while ensuring the lobby creates an inviting, on brand experience.


  • Maintain day-to-day front office responsibilities, including communicating with all clients and answering inquiries, greeting all visitors, including interview candidates, clients, consultants, and other outside visitors, and ensuring that the front reception area is tidy.

  • Provides daily facility production and labor cost reports for all four MSDC business units (OXO, ISH, HSH, & BSH).

  • Maintains all records for management and executives.

  • Audits temporary staff billing invoices.

  • Maintains production tracking for department statistics.

  • Provides daily facility scorecard and headcount reports.

  • Facilitate company meetings, lunches, and other events related to all-hands meetings, Leadership Team meetings, and other company activities as needed.

  • Complete a monthly shipping analysis and handle employee personal shipment reimbursement.

  • Receiving includes accepting/scanning all incoming packages, organizing, and putting away all office supplies.

  • Handles confidential documents.

  • Answers receptionist phones and walk-in vendors.

  • Support HR with management meeting scheduling, i.e., outside vendor partners, on-site candidate interviews, etc.


Skills needed to be successful in this role:

  • Demonstrated a high level of autonomy and ability to self-start

  • Strong desire to "own" all aspects of facilities and supplies for Hydro Flask

  • Technically savvy with strong experience with Microsoft Office Suite

  • Demonstrated customer service skills and the ability to serve internal and external customers in a friendly and timely manner, going above and beyond to ensure the best possible outcomes


Minimum Qualifications:

  • High School Diploma or equivalent

  • 2+years of experience working in an administrative support role of increasing responsibility, with attention to detail, planning, and follow-up.

  • 1+ years of experience in a reception or office manager type role

  • Experience coordinating vendor and service provider relationships and contracts (supplies, custodial, lawn care and snow removal, etc.)

  • Experience leading all aspects of facilities projects

  • Authorized to work in the United States on a full-time basis

Preferred Qualifications:

  • Experience with hands-on projects
