Office Administration

  • Answer main phone line
  • Maintain a professional atmosphere of the offices by keeping workspace clean and well supplied
  • Handle correspondence and general inquiries to the firm
  • Forward any leads from company website or phone line as directed
  • Make appointments and coordinate meetings
  • Schedule client meetings for sales team (lead follow-up, service overview and intake meetings)
  • Greet and interact with clients who come into the office
  • Open mail and distribute as necessary
  • Ensure that client services materials are in stock and easily available for clients (ordering replacement stock)
  • Ensure internet connectivity and that all printers are in working order
  • Support the creation of external presentations
  • Occasionally support Business Development by sharing an overview with potential clients of the firm's abilities, service offerings and methodology in a respectful, personable and empathetic manner

Client Services Support and Client Data Base Administration- Maintaining the Firm's CRM is at the heart of the administrative role, being that the Client Data Base is one of the Firm's main assets.

  • Create and maintain client files within Dropbox
  • Operate as the "primary owner" of the CRM, ensuring that the system meets the needs of the business
  • Leverage the CRM to support reporting requests
  • Update CRM per unsubscribe request or returned email following campaigns
  • Liaison to consultants, updating individual client records as new information is made available by the consultants
  • Coordinate with VP of Client Services; Review and Ensure Information for Clients is accurate
  • Resources available in office (brochures, books, etc.)
  • Resources for Clients on Dropbox
  • Request and execute charity of choice payments (gather, create payments, create letters to charity and to client, mail)
  • Write congratulations notes to clients who land
  • Prepare and send customer surveys using Survey Monkey
  • Send books and other resources to clients when needed
