Our client, a software company located in Andover, MA is seeking an Administrative Assistant to join their team on a temporary to permanent basis. This role is compensating $24/hour on the contract side and up to 55K once perm. The hours will consist of a Monday-Friday, 9am-5pm schedule.

Duties:

  • Reception Duties

o Greets all visitors and guests

o Receives all front door deliveries

o Provides direction, hospitality services and concierge assistance to visitors and staff members - hanging up coats, making reservations, delivering beverages, providing directions, coordinating transportation, etc.

  • Human Resources Support Duties

o Coordinate onsite interviews

o Assist in day 1 orientation for all new hires, including completion of the I9 form

o Help in drafting any letters or employee communications

o Run and maintain different personal reports, such as OT reports, Tardy punch reports, New Hire Reports & EHS Reports

o Coordinate with temporary staffing agencies on needed headcount, timecards & communicating hires & terminations

  • Administrative Duties

o Orders general office and breakroom supplies, maintains adequate inventories and restocks as necessary, coordinates the payment and internal allocations of goods ordered

o Orders catering and food as requested for internal meetings and events. Builds a database of catering and food suppliers, coordinates the set-up and clean-up of all delivered meals, coordinates the payment of invoices.

o Maintains the postage machine and all postage supplies, refilling and ordering service as necessary

o Answers main phone line, screens calls and assists customer service with overflow work as requested

Qualifications

Skills & Abilities:

  • Can-do attitude displaying a willingness and enthusiasm for all assignments
  • Outstanding customer service skills
  • Intermediate PC Skills including word processing, spreadsheets and presentation software in MS Word, Excel and PowerPoint.
  • Solid interpersonal skills, works well in a team environment. Ability to maintain confidential information.
  • Possess clear and professional communication skills, including verbal skills demonstrated on both the telephone and in person, writing skills and listening skills.
  • Highly detail oriented and organized. Consistently proofreads data for correctness and accuracy.
  • Ability to work independently with minimal supervision, but able to keep all stakeholders updated and informed of all pertinent activities
  • Highly reliable and able to work outside of normal work hours or on overtime when required
  • Possesses good problem solving skills and timely follow through.
  • Works well under pressure, prioritizing tasks, reporting on progress and updating documents (databases, charts, calendars, task lists, job boards, etc.) on a timely and consistent basis.

Level of Education/Training/License:

Associates Degree or equivalent required

Experience:

Three + years of administrative work in a small-medium sized customer facing role
