Position Summary

Oversees the day-to-day administrative operations of the Department of Emergency Medicine as the point person for facilities, supplies, and office administration. Supports key programs and administrative functions, and is responsible for assisting the Department Manager with the coordination of new service lines and offerings.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

  • Supports new service lines or initiatives to include being responsible for culling data and/or generating reports out of the MFA's EHR.
  • Coordinates and manages the off-boarding process for staff.
  • Manages the onboarding of new staff and providers to include system access, suite access, and office space allocation.
  • Responsible for the Department's website(s).
  • Manages the office space of Emergency Medicine (currently 2120 L Street NW Suites 450 and 530).
  • Partners with external departments to facilitate requests for our 2120 L Street offices including office moves, special cleanings, ordering office plaques, scheduling repairs, purchasing furniture, and ordering and maintaining office supplies.
  • Manages the security card and FOB process, developing a procedure for issuance and tracking.
  • Assists in the development and management of provider quarterly schedules, utilizing an online scheduling system; manages payroll and monthly supplemental comps for the department's advanced practitioners and other administrative support as needed.
  • Responsible for downloading charts or other documentation from Cerner as needed to support providers in the completion of forms requested by patients.
  • Responsible for the front desk line, maintaining the voice mails and queues, and ensuring lines are correctly forwarded when no one is able to answer in reception; may be responsible for greeting visitors and MFA team members at front reception.
  • Provide support to other initiatives, programs, or tasks in the department as needed.
Qualifications

Education
  • A Bachelor's degree, preferably in healthcare administration, or an equivalent combination of training and experience is required.
Experience
  • A minimum of 2 years of experience in an office or medical clinic setting is required.
