Our client, a global advisory and consulting firm based in Midtown Manhattan, seeks to hire a Part Time Temporary Office Services Coordinator for a long-term contract role. You will work Tuesdays and Thursdays 8:00am - 5:00pm with flexibility to stay until 6pm on busier days. As time goes on you may have the ability to pick up more days as the business needs. This role will be based onsite at our client's office.

Responsibilities:

  • Greet guests, answer phones, direct calls with a pleasant and professional manner. First impression for clients and guests.
  • Provide "best in class" customer service experience to all internal and external personnel.
  • Serve as the main point of contact for general office needs.
  • Provide white glove hospitality and maintain client-ready reception area, conference rooms and other common areas.
  • Oversee conference room calendar using Robin.
  • Regularly update and maintain digital files and maintain new hire PowerPoint slides.
  • Provide administrative support to Executive Assistants and HR, including scanning, copies, binding decks, mailouts.
  • Submit T&E reports for Managing Directors using Concur.
  • Schedule car services by request for MDs and clients.
  • Track, order, and stock office inventory including office supplies, food, and beverage.
  • Brew coffee, stock fridge with beverages, load/unload dishwasher, and routinely maintain kitchen cleanliness.
  • Place catering orders and execute set-up/clean-up of internal and external catered meetings.
  • Assist with all in-house special events and meetings, providing exceptional customer service.
  • Oversee office facilities and report areas that require maintenance, submit work tickets for office maintenance and requests.
  • Copy room maintenance, stocking supplies, loading paper into copy machines, filling staplers, etc.
  • Receive and distribute mail/packages, create shipping labels, schedule courier service, drop packages at FedEx as needed.
  • Daily and periodic rounds to ensure cleanliness and organization of office and conference rooms between meetings.
  • Ad-hoc cleaning, such as wiping up spills and surfaces as needed.
  • Run errands, such as picking up deliveries in building lobby, picking up local lunch orders, etc.
  • Serve as day-to-day liaison with building management, submit work tickets for office maintenance and requests.
  • Submit work tickets for ID card creation and deactivation for new hires and leavers.
  • Willingness to offer suggestions to support and streamline Standard Operating Procedures.
  • An overall team player who is willing to step in and help where needed.

Qualifications:

  • 2 + years of experience as a receptionist or similar administrative or hospitality role
  • Familiarity with Microsoft Office Suite (particularly Outlook, PowerPoint, and Excel)
  • Professional email and phone etiquette
  • Superior organizational skills
  • Ability to prioritize and multitask
  • Self-starter with excellent communication and interpersonal skills
  • Inquisitive and willingness to learn
  • Leverages all available resources
  • Strong teammate with "Make it work!" attitude
  • Able to lift 30lbs
  • Bachelor's degree or equivalent transferrable experience
  • Experience in catering a plus, but not required
  • Bilingual English/Spanish a plus, but not required

Compensation:

$22hr - $23hr depending on experience
