Job Title: Payroll Administrator

JOB SUMMARY: The ideal Payroll Administrator candidate will be responsible for assisting accounting with the quick and efficient processing of payroll. The ideal candidate must have strong analytical thinking skills, an attention to detail, and most importantly, the ability to retain confidential information. Excellent interpersonal skills, efficient typing ability (data entry), and familiarity with payroll software.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other duties may be assigned.

  • Responsible for the data entry and processing of payroll for all employees. Resolves any discrepancies that may arise.
  • Creates and transmits positive pay and direct deposit files to the bank.
  • Compiles and records all federal and state payroll tax deposits in a timely fashion.
  • Maintain field (Union) employee payroll records in the Payroll Department.
  • Maintain calendar indicating scheduled union pay increases.
  • Monitor dates of non-union employees who become union employees whereas the company benefits terminate, and the union benefits begin.
  • Reviews any required changes to employee information such as change of address, withholding or regular deductions.
  • Responsible for processing special checks, such as vacation pay, incentive or layoff checks.
  • Prepares any payroll adjustments including voided and reissued checks or adjustment to job cost coding.
  • Oversees and maintains employees' sick and vacation records.
  • Administer the preparation and maintenance of unemployment, disability and new hire state and municipal correspondences relating to payroll inquiries.
  • Responsible for preparing monthly union reports and payments.
  • Oversee the distribution of payroll checks.
  • Review time sheets, wage computation, and other information to detect and reconcile payroll discrepancies.
  • Compile employee time, production, and payroll data from time sheets and other records.
  • Review, correct and enter time sheets into database and payroll software for multiple unions and nonunion employees on a weekly basis; payroll is in-house, so this also includes printing and distribution of checks
  • Review and enter new hire paperwork data into software and file into employee personnel files.
  • Review all I-9's, enter into E-Verify, print and pass records onto Human Resources for review then file accordingly.
  • Process certified payrolls accurately on a monthly basis.
  • Familiarity with different union fringes and benefits for processing purposes.
  • Generate and distribute necessary reports internally and externally.
  • Gather documentation for company audits on a timely basis.
  • Assist Human Resources with employee verifications and scanning of employee personnel files pursuant to legal requests.
  • Maintain utmost confidentiality of company information.
  • Escalate critical and/or sensitive issues to the CFO with recommendation for resolution.

ADDITIONAL DUTIES:
  • Prepares monthly Union and Vacation accrual schedule.
  • Answers questions from staff pertaining to payroll matters.
  • Prepare quarterly tax returns and annual W-2'S for review by CFO/Controller.
  • Performs related duties as assigned.

QUALIFICATIONS

PREFERRED EDUCATION and/or EXPERIENCE
  • Bachelor's Degree
  • 5 - 10 years working in a payroll capacity, preferably with other mechanical construction or union contractors with over 300 employees in multiple states.
  • Working knowledge of the construction industry, operations management, and safety practices a plus.
  • Working knowledge of federal, states, and city regulations and guidelines.

COMPUTER SKILLS
  • Must demonstrate proficiency in Microsoft Office applications, (i.e. Outlook, Word and Excel).
  • Working knowledge of payroll, project and financial software.
