Job Summary

The Perioperative scheduler coordinates operating rooms and endoscopy schedules and the schedules of the surgeon/physician/staff needed for the procedures. Collects and analyzes data on patient surgical and endoscopy cases and availability of the operating and endoscopy suites to improve patient care and maximize operating room and endoscopy suite utilization. Tasked with maintaining balanced operations between nursing services, anesthesia, surgeon/endoscopist and available equipment.

Minimum Job Qualifications

  • Licensure or other certifications:
  • Educational Requirements: High School Diploma or GED.
  • Minimum Experience: Two (2) years of OR scheduling or other clinical experience required. Advanced medical terminology and anatomy is required.

Essential Tasks and Responsibilities
  • Responsible for direct and accurate scheduling of OR and Endoscopy cases; to include all information obtained from the order, Physician, and/or surgical staff. This includes, but is not limited to, correct procedure description and code, region, laterality, anesthesia type, physician, service and pre-op diagnosis.
  • Identify and assign operating and endoscopy suites for all surgical cases in conjunction with various suite capabilities and available clinical staff.
  • Understands the block utilization concept and is able to correctly identify in which rooms a procedure can and cannot be scheduled. In addition, also identifies physician blocks, group blocks, and determines accurate case durations by physician per procedure.
  • Follows all guidelines set forth by the OR and Endoscopy clinical unit as it relates to the schedule; including, but not limited to, number of late rooms allowed, specific number of procedures that can be performed on a given day, robot and other equipment guidelines, and Physician related requests and restrictions
  • Responsible for facilitating patient assignments and communicates regularly with the clinical operations staff on all placement issues so that they can be addressed promptly
  • Performs any and all related job duties as assigned; may have additional department specific duties assigned as deemed necessary by management
  • Understands and utilizes the medical necessity review process for surgical cases appropriately and communicates to offices and patients when needed to reschedule or cancel OR cases.
  • Accountable for all final changes, add-ons, or case moves as it relates to the next day schedule - this includes accountability for the accuracy of the schedule in its entirety.
  • Answers calls and provides high level customer service in all interaction with customers.
  • Maintains patient confidentiality regarding access to patient and other clinical information via email, computer and fax.
  • Addresses concerns of clinical teams and provides recovery and escalates issues to appropriate chain of command as needed.
  • Responsible for working with physician offices and ancillary departments to ensure patient satisfaction is met in all aspects of their duties
  • Performs any and all related job duties as assigned; may have additional department specific duties assigned as deemed necessary by management
  • Monitor case durations and make appropriate adjustments as requested to ensure accurate scheduling
  • As assigned, expected to review accounts for order accuracy; responsible for contacting physician offices with discrepancies or concerns regarding the scheduled procedure
  • Ensure financial authorization of scheduled elective cases. Work in conjunction with financial team to escalate clearance on necessary patients.
  • Provides department leadership updates regarding placement needs.
