Product Operations Coordinator
Position Responsibilities
Primary Functions of Records Coordinator:
Process returned responses from police agencies.
o Open and separate the contents of around 200 envelopes per hour, subdivide negative responses into appropriate areas, accurately tally for quality control, and deal with miscellaneous notes, bills, etc.
o Identify poor image quality reports, retrieve responses from an archive of around 150,000 hard copies
Scan
o Utilize three high-speed scanners simultaneously. Create scan log and archive "batches"
appropriately.
o Maintain archived reports
Posting, Folding and Inserting Mail
o Utilize a folding machine that folds single sheets and folds multiple pre-programmed sequences.
o Run an "inserter" to rapidly place the folded requests and return envelopes through a posting machine
o Accurately post hundreds of envelopes every day and accurately tally expenditures
Contact police and fire agencies to inquire about reports requested for Insurance Clients.
o This will consist of, but is not limited to, incoming requests and calls to and from insurance clients, police and fire agencies. Functions will include updating requests, terminating requests returned from government agencies, and matching returned reports with the transaction number
Conduct map research and internet research to determine correct jurisdiction and/or to locate report
Contact police or other agencies for required costs, request information or report numbers as mandated by the originating agency
Qualifications and Skills
Education
o High School Diploma or Equivalent required. Some college preferred
Experience & Training
o Customer Service, General Office required. Data Entry preferred
Specific Skills
o PC, Fax, Phone required. Typing 45 wpm or more preferred. 9 numeric key highly helpful but not required
o Internet Research
o Exposure to and use of mapping software
Other
o Customer Service skills
o Insurance Claim processing or Court/Police Records experience helpful
o Excellent verbal and grammar skills required
o Multi-tasking and ability to prioritize daily workflows
o Team atmosphere with emphasis on accomplishments for both the company and the
individual
Soft Skills
Possess a sense of urgency while being able to focus and pay attention to detail
Ability to multi-task

Excellent verbal and written skills
Physical/Mental Requirements
Some lifting, must be able to sit for long periods of time, must have decent reading comprehension, and good memory
Individual must be able to handle a level of stress in a fast paced production environment
Individual must be able to monitor personal and office equipment, and handle minor service such as replacing toner cartridges, fax paper, printer/copier paper
Must be detailed oriented and self-motivated
Must keep focused on work and perform repetitious functions effectively
Requires good analytical skills
Must be able to accept and adapt to changing operating specifications and procedures
Must be willing to modify daily functions and workflow as required to meet business needs
Must have good interpersonal skills
