General Description / Primary Purpose:

The essential function of this position is to assist in managing and supporting frontline operations to ensure effective and efficient service for students engaged with Career Services. This position will coordinate and communicate data, processes, and procedures for select major programs and initiatives for students and campus units. This position will support the office by connecting internal and external calls and visitors appropriately to programs, services, individuals, and units.

Job Function:

The position will support Career Services programs and services:

  • Provide customer service connecting callers and visitors appropriately to programs, services, and resources.
  • Coordinate processes, procedures, and communications for major student programs and initiatives (Career Quest, Digital Badging, Career Assessments etc.)
  • Troubleshoot and resolve issues related to student engagement with select major programs and initiatives, inclusive of elevating select cases to campus units.
  • Monitor and process student data for select major programs, developing, uploading, and disseminating records and reports.
  • Manage Marketplace transactions to ensure fiscal responsibility in verifying student payment activity for the career assessment program.
  • Manage Elevate, the career assessment system, processing and organizing student reports for individual and group interpretations.
  • Assist in the coordination and implementation of career education programs.
  • Assist with managing and routing career services emails.
  • Assist with scheduling staff meetings.
  • Assist with managing student appointment scheduling process and procedures.
  • Supervise and train assigned student assistants.
  • Assist with travel, and other office tasks as needed.

  • Support Career fairs and events, assisting with the preparation, planning and implementation as needed.
  • Additional duties related to the office operation of the department may be assigned.
Required Qualifications:

High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

  • Excellent customer service skills, written and verbal communication skills, and interpersonal skills to function as a productive team member and effectively serve students and other constituents.

  • Ability to effectively use departmental and university software programs and systems.

  • Strong ability to function as a productive team member.

  • Ability to maintain confidentiality while handling sensitive documents and conversations.

  • Experience with a personal computer, other office equipment and Microsoft Office software.
