RESPONSIBILITIES

  • Answer telephones and direct callers to appropriate employee
  • Greet and direct visitors in a professional, friendly, hospitable manner
  • Coordinate the pick-up and delivery of express mail services (FedEX, UPS, etc.)
  • Order, receive, stock, and distribute office and kitchen supplies
  • Process invoices by matching delivery tickets and cost coding to the correct cost code
  • Order materials such as concrete, rock, and safety supplies
  • Maintain subcontractor files
  • Assist field operations with maintaining and logging revised plans
  • Maintain and track CDL logs, safety inspection log, equipment, and change orders logs
  • Payroll duties will include coordinating with Superintendent/Foreman and the payroll department by collecting time sheets, verifying cost codes, and total hour spreadsheet
  • Assist employees with time off requests, address changes, tax form, and direct deposit form updates
  • Keep employee bulletins boards up to date
  • Assist Superintendents with termination slips and status change forms
  • Type memos, correspondence, reports, and other documents as needed
  • Administrative duties such as copying, printing, faxing, filling, etc.
  • Assist with set-up and close out of jobsite office
  • Perform other related duties as required and assigned
  • Review and submit time sheets to Payroll Department on weekly basis
  • Assist with ordering of job site materials and subsequent coding of invoices
  • DBE reporting and compliance
  • Assist in preparation of OJT (on the job training) paperwork requirements
  • Conduct new hire orientations for craft employees on job site
  • Review and manage contract indemnification
  • Documentation control and management
  • Handle and support the safety department in terms of documentation, uploading it into the AIC system

QUALIFICATIONS

  • Minimum of a 2 year degree preferred
  • Minimum of three (5) years of relevant experience
  • Bilingual required
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Able to work collectively with the administrative team associates
  • Strong computer skills: Word, Excel, PowerPoint, and Outlook
  • Ability to multi-task and work in high pressure environment
  • Strong planning, organizational, and administrative skills
