GHD's Construction group has an outstanding opportunity for a Project Administrator. In this role, you will coordinate travel for team members, ensure new hiring onboarding and training requirements are met, and system administration management.

This role will be located in one of our regional office locations in the US with flexibility on the specific geographic location.
Responsibilities:

  • Coordinating travel arrangements for office and field staff
  • Coordination and data entry of payroll and expense reports using internal software systems; collaborating closely with managers and staff regarding time and expenses
  • Support field staff manager with onboarding and other trainings
  • Maintaining personnel and training records
  • Administrative tasks related to equipment and vehicle inventory
  • Handling correspondence as directed including, but not limited to: copying, scanning, emailing, FedEx/USPS mailing
  • Data entry applying Microsoft Excel spreadsheets and reports
  • Maintaining electronic and paper filing systems
  • Coordinating in-office trainings, meetings, and meals
  • Performing general office duties associated with office equipment, supplies, mail distribution
  • Performing light housekeeping duties in the office kitchen
  • Coordination of building maintenance tasks
  • Completing special projects by clarifying project objectives, setting timetables and schedules, conducting research, organizing information, and completing project within timelines established
  • Working cohesively as a team within the office; assisting team members as needed
Qualifications
  • 3-5 years of administrative support experience in a professional office environment
  • Professional demeanor and positive work ethic
  • Ability to work with little supervision and achieve superior results
  • Strong attention to detail and accuracy
  • Ability to handle difficult situations and work well with multiple instructions and directions
  • Excellent organizational skills with ability to prioritize to meet short deadlines
  • Proficiency in Microsoft Office Suite (Must be strong in Word, Excel, PowerPoint, Outlook and Adobe PDF Writer)
  • Strong written and verbal communication required
  • Ability to maintain confidentiality in all matters of correspondence, telephone messages and personal conversations
