The National Association of Insurance Commissioners (NAIC) has an exciting opportunity for a Project Coordinator. The Project Coordinator is a member of the Filing Solutions Team within our Information Technology Division. This team member will support projects in various roles like project kick offs, communication plan development, project status meetings, project close out and other administrative duties. They will support other staff as necessary for the good of the department, division, and enterprise.

This position is based out of the NAIC's Kansas City, MO office. This is a full-time hybrid-remote position, in a positive and flexible environment. Residency within 100 miles of the Kansas City, Missouri office is required, along with in-office work as scheduled.

Responsibilities include:

  • Performs general administrative support for department and enterprise.
  • Assists in preparing and monitoring department and project budgets.
  • Supports and enhances project, department, and division processes.
  • Assists with and/or leads project components such as project kick offs, communication plan development, project status meetings and project close out.
  • Assists project managers with creation and maintenance of RAID (risk/action/issue/decision) log.
  • With direction from project managers, sets and communicates agenda for project meetings.
  • Prepares meeting summaries, calling out action items and decisions.
  • Assists project managers with monitoring and directing project activities.
  • Organizes and maintains project artifacts and communications.
  • Creates documentation and support processes for department projects and activities.
  • Prepares memos, correspondence, reports, graphs, spreadsheets, and other documents using various technologies.
  • Reserves conference rooms for presentations, meetings, and interviews, including lunches and other set-up and cleanup.
  • Schedules and sets-up conference calls, video presentations and other meetings as requested.
  • Provides excellent customer service to customers both internally and externally. This includes providing necessary assistance to NAIC internal and external customers and ensuring customers are given high quality follow-up and customer service.

Skills & Abilities:
  • Proficient in or the ability to learn Microsoft Word, Excel, Outlook, and PowerPoint.
  • Must have ability to handle multiple projects simultaneously and work in a fast-paced environment.
  • Must be able to work well with all levels of the organization in a professional manner.
  • Must have excellent customer service skills.
  • Must be organized and detail oriented to produce high quality, accurate work the first time.
  • Must have strong grammar and proofreading skills.
  • Ability to effectively work with and address questions/concerns of staff and management ensuring timely follow-up on issues.
  • Builds relationships within the organization and understands the most appropriate use of these relationships.
  • Must demonstrate effective problem solving and critical thinking abilities.
  • Maintains professional, courteous, congenial, and effective relationships with all team members.

Minimum Education and/or experience required:
  • Associates degree (A.A) or equivalent from two-year college or technical school; three to five years related experience; and/or training or equivalent
  • Two years experience with MS Office products to include: MS Word, Excel, Outlook, and PowerPoint.

Preferred Experience and/or Certifications:
  • PMI Certified Associate in Project Management and/or a Scrum Master

Compensation:

Salary offer $27.77/hour - $28.50/hour, commensurate with experience and education.
