Intrado Digital Media is hiring a Virtual Events Project Manager for our Webcasting Department.

Position Summary: Responsible for serving as a primary contact for the client team during the virtual engagement process; provide solutions to the client based on the virtual business platforms which requires interacting with assigned departments and cross functional teams to achieve and maintain customer satisfaction; deliver client project according to the project's deadlines and budget; establish an excellent working relationship with assigned client and continuously strive to improve the level of overall service that the company is providing.

Position Duties: Serving as a primary contact for the client team during the virtual engagement process while adhering to corporate and department and company policies and procedures.

• Develop and maintain full-scale, detailed project plan to be used in tracking project milestones and deliverables. Identify critical path and dependencies with other departments, cross functional resources or 3rd party contractors.
• Ensure that the project stays within the defined scope and budget while providing scope and budget updates throughout the project lifecycle to customer and key stakeholders
• Manage overall customer event experience which may include coordination of content delivery and event production, organizing exhibitor/sponsor requirements, reporting and quality assurance.
• Plan client kick off meeting and engage other core project teams to assist in planning the various stages of strategy, planning, implementation and execution
• Act as client's main point of contact from kick off through execution to completion
• Lead weekly check-in meetings with the customer and core project team throughout the project lifecycle to ensure the project plan is on track and address areas of concerns
• Ensure appropriate change management processes and communications are in place.
• Proactively manage changes in project scope, identify potential crises, and devise contingency plans. Communicate and acquire approval via the change control process.
• Perform risk and issue management, escalation when necessary, communicate impacts, and take corrective action.
• Ensure documentation for each phase of the project is completed and in adherence to departmental standards
• Update management on a regular basis, reporting on project progress, open or unresolved issues, solutions, and risks to achieve client objectives
• Continually keep up-to-date on virtual event technology, and capabilities to assist clients during virtual business solutions

Problem Resolution - Proactively oversee the activities involved in quality resolution of
problems related to area of responsibility.

• Respond with a sense of urgency to problems escalated to employee's level
• Escalate to supervisor any situation outside the employee's control that could adversely impact the services being provided
• Place the highest priority on providing quality service by ensuring the unique needs of internal/external customers are met
• Ensure quality resolution and thorough and accurate documentation of issues
• Provide analysis and feedback to management staff and appropriate departments regarding recurring problems, recommending improvements aimed at reducing future occurrences of problems
• Participate in creating, administering, and continuously updating procedures for resolution of all related issues

Client Satisfaction - Establish an excellent working relationship with assigned client and
continuously strive to improve the level of overall service that West is providing

• Participate in client meetings and conference calls in order to identify issues and make recommendations on how to eliminate future occurrences
• Serve as a client advocate ensuring quality and delivery of service ensuring all client or internal issues are followed through to resolution in a timely manner
• Maintain current and up-to-date knowledge of clients
• Escalate to management any situation outside the employee's control that could adversely impact the service provided to the client
• Provide feedback to management when client expectations appear to be unreasonable or unrealistic and recommend feasible solutions
• Identify any obstacles to providing the highest quality customer service and communicate constructive feedback to management

Team Interfaces - Establish and maintain a professional relationship with team members and
department contacts

• Cooperate with team members to meet goals or complete tasks
• Provide quality customer service that exceeds customer expectations and improves level of service being provided
• Escalate work flow and communication issues to supervisor
• Treat all internal/external customers and team members with dignity/respect

Minimum Qualifications

Education: Bachelor's degree from an accredited college or university in computer science, business administration, or MIS required. Equivalent work experience in a similar position may be substituted for educational requirements

Experience: Minimum of three years increasingly responsible project management experience required with an emphasis on technical capabilities preferred

Other: Intermediate knowledge of Outlook, Word, Excel, PowerPoint, Photoshop/Illustrator and Dreamweaver required. Intermediate knowledge of project management software and SharePoint preferred. Project Management Professional (PMP) certification preferred.

Mental and Physical Requirements -
• This position will be exposed mainly to an indoor office environment and will be expected to work near or around computers, telephones, and printers
• The nature of the work in this position is sedentary and the incumbent will be sitting most of the time
• Essential physical functions of the job include typing, grasping, pulling hand over hand, and repetitive motions to utilize general computer software/hardware continuously throughout the work day
• Essential mental functions of this position include concentrating on tasks, reading information, and verbal/written communication to others continuously throughout the work day
