The Receptionist/Admin Support engages in the usual office duties such as answering calls and email, and filing papers. As a receptionist, you are the first point of contact for the company and will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all tasks are completed accurately and delivered with high quality and in a timely manner.

Primary responsibilities:

The responsibilities of the Receptionist/Admin Support include, but not limited to:

  • Receive, screen all incoming phone calls and connect them to appropriate personnel
  • Give a warm greeting to all individuals entering the office premises
  • Monitor visitor access and maintain security awareness
  • General administrative and clerical support
  • Computer based data entry
  • Accept and sign for packages
  • Record purchase orders in the accounting system
  • Order supplies required directly with vendors
  • Keep track of returns and credits
  • Enter vendor invoices into the company's accounting system.
  • Upload documents in the company secure electronic data capture system


Other important functions include:

  • Escort vendors through the facility
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Organize conference and meeting room bookings
  • Keep and maintain an adequate inventory of office supplies
  • Keep and maintain office and conference room appearance presentable
  • Keep and maintain the lunch room with all the supplies
  • Assist with shipping samples when needed
  • Plan company lunches, farewells, picnics and holiday parties
  • Assist in other duties as needed and directed


Candidate requirements :

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Competency in Microsoft applications including Word, Excel, and Outlook
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school degree
