Summary

Under minimal supervision, operates within the Finance Department as it pertains to accounting, budgeting, and reporting functions. 

Essential Competencies, Duties and Responsibilities

  • Assist the department in the performance of the normal monthly, quarterly, and annual audit preparation duties at the direction of the Controller.
  • Gather necessary and appropriate information from a variety of resources that contribute to planning, proposal preparation, responses to customers and other related budgeting activities.
  • Prepare, maintain, and review monthly balance sheet schedules for two companies.
  • Prepare monthly billings and invoices. Review Accounts Receivable reports to ensure timely payments are being received.  Alert appropriate Managers if timely payments are not received.
  • Prepare monthly project financials for distribution to Project Managers and Executive Management. Responsible for recognizing trends and reporting abnormalities to Accounting Manager/Controller.
  • Enter and maintain fixed asset schedules for two companies. Enter new assets into Cost Point Fixed Assets. Run monthly depreciation and prepare depreciation journal entries for two companies. Create transactions for asset transfers and disposals as needed.
  • Assist Accounting Manager with monthly company tax filings and annual reports. Maintain Tax Filings tracker.
  • Ability to update and oversee the fixed asset system and work in conjunction with the employee responsible for safeguarding corporate assets
  • Fill in for Accounts Payable as needed. Responsible for first review of Accounts Payable and for directing Accounts Payable on necessary corrections.
  • Responsible for knowing company travel policy and ensuring that the policy is enforced when reviewing expense reports and the general ledger.
  • Set up new projects in Cost Point accounting software, including billing schedules if available.
  • Create and track Purchase Orders for subcontractor/consultant contracts and Information Technology related purchases. Alert appropriate Managers if expenditures exceed the contracted amount.
  • Maintain Small Business reporting requirements for multiple contracts. Prepare required reporting backup to be provided to different entities on a monthly, quarterly, semi-annually, or annual basis as required by each contract.
  • Prepare monthly indirect rates. Review General Ledger for accuracy to insure all necessary accounts are included in leave, benefit fringe, overhead, and general & administrative rates. Assist Accounting Manager/Controller with year-end projections and analysis.
Accountability
  • Accountable for the timeliness, completeness, accuracy and quality of all assigned functions and tasks.
  • Project deadlines may necessitate occasional extended work hours.

Education and/or Experience

  • BS in Accounting or related field.
  • Minimum of 3 years’ experience in government contracting/cost accounting, budgeting, or financial area.
  • Strong knowledge of computerized accounting/project costing systems, including desktop PCs. Knowledge of project cost accounting, GAAP, and Federal Procurement laws helpful.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Excel, including data manipulation, graphics, formatting, filters, macros, and pivot tables.

  • Ability to effectively communicate (orally and in writing) with company management, staff, vendors, physicians, and other health care professionals.
  • Ability to work independently as well as part of a team.
  • Ability to remain calm under stressful or adverse circumstances.
  • Ability to adhere to established company confidentiality policies.
  • Ability to troubleshoot and solve reporting/systems problems.
