Job Description Summary:
The National Institute for Medical Assistant Advancement (NIMAA) is an accredited post-secondary educational institution training Medical Assistants (MAs) to effectively participate in high-functioning, team-based primary care settings. NIMAA provides students an effective and accessible full-distance educational program that prepares them for entry into a career in primary health care, and meets the workforce needs of advanced primary care practices.

NIMAA is part of the Moses/Weitzman Health System, a global leader addressing challenges faced by organizations caring for the poor and diverse populations, and home to programs focusing on education, research, and process improvement support for safety net providers. The system delivers primary care to more than 150,000 patients in Connecticut, and extends access to specialty care for more than 2.5 million individuals across the U.S. It is a national accrediting body for organizations training advanced practice providers, and, through NIMAA, offers accredited education and training for Medical Assistants in multiple states.

NIMAA offers a dynamic work environment in a rapidly growing organization. The NIMAA team is highly collaborative, utilizing zoom, Microsoft Teams and SharePoint for communication and collaboration, with many staff working remotely and some working hybrid schedules from our Denver, Colorado office.

Job Description:

NIMAA's Student Services team is comprised of 3 focus areas: Recruitment, Admissions, and Student Services. The Student Services Specialist will have primary responsibility for one of these focus areas and provide support to other focus areas as needed. For this posting we are most interested in candidates with a background in Student Support as described below.

The Student Services Specialist must exhibit excellent independent judgement, strong oral and written communication skills, and a commitment to represent NIMAA consistent with state regulations and NIMAA's expectations for ethical behavior in recruitment strategies.

ROLES AND RESPONSIBILITIES

General Duties

  • Ensure a personal, supportive relationship is established with each student beginning with the admissions and onboarding process; establish an effective supporting relationship with them.
  • Serve as admissions representative (and registered agent) for NIMAA.
  • Accurate maintenance of records within NIMAA systems and timely responses to inquiries.
  • Collaboration with other Student Services Team members and other NIMAA staff as appropriate for the role.

Recruitment
  • Work individually and with other NIMAA team members to meet recruitment, retention and placement goals.
  • Represent NIMAA in Colorado communities, with NIMAA externship organizations across the country, and with prospective and current students and employers.
  • Promotion of NIMAA at high schools and community health and job fairs, virtually or in person.
  • Coordinate with NIMAA communications team in the development of print and social media collateral.
  • Maintain an on-line recruitment presence of NIMAA in social media: ensure regular posts on NIMAA's Facebook, Twitter, and Linked-in pages to support student recruitment and placement.
  • Utilize NIMAA's established student information system to maintain up to date records on recruitment and placement activities.
Admissions
  • Oversee the admissions process from the application cycle through onboarding and enrollment of each cohort.
  • Serve as an admissions representative for NIMAA, including
    • Connecting with students who have expressed interest in attending post-secondary school
    • Help Students understand and navigate through the admissions process
    • Ensure all necessary documents are collected and packaged in accordance with the admissions requirements
  • Manage the Admissions Policy committee and ensure adherence to accreditation standards for admissions activities
  • Work closely with Student Services Team Members to:
    • Manage Admissions Decision meetings
    • Manage communications to applicants and during admissions process.
    • Conduct onboarding activities with accepted applicants to support completion of required admissions forms and tasks.
  • Works closely with the Student Information Program Specialist to track applicants in the admissions pipeline.
Student Support
  • Meet with students to identify potential hurdles to student's success. Utilize communication skills/advising techniques to assist students in developing a success plan.
  • Communicate with at-risk students, provide advisory services and resources, and problem-solve for solutions as needed, for issues arising due to payment, attendance, grades, skills checks, balancing school with other obligations, etc.
  • Develop and distribute resources such as workshops and resources in the student center page to support student success.
  • In conjunction with student services manager, develop relationships with prospective employers to facilitate student placement up on program completion
  • Create and maintain placement resources for use by students. Provide assistance to students in resume creation and job search strategies.
  • Support students not placed or requesting placement assistance and support instructional team to obtain placement verification consistent with accreditation standards.
  • Develop NIMAA's alumni network so that alumni support recruitment efforts, including availability of alumni to speak with prospective students and are represented in recruitment collateral.
  • Create and implement an alumni engagement program for NIMAA to include participation of alumni on NIMAA Advisory Board, engagement of alumni as ambassadors during the admissions and enrollment processes, development of career advancement services for NIMAA alumni.

QUALIFICATIONS
  • Bachelor's degree preferred; Associates Degree required.
  • Must demonstrate strong independent judgement and ethical decision making
  • Must be highly organized, self-motivated, self-directed and highly accountable
  • Strong interpersonal skills, including listening skills
  • Previous experience in a higher-education admissions representative, student advisor or other similar related experience desired.
  • Experience in a service or sales related position preferred.
  • Experience in community health or primary health care preferred.
  • Experience with client management databases
  • Knowledge of medical assisting preferred
  • Very organized with the ability to respond to a high volume of inquiries effectively and efficiently.
  • Strong working knowledge of Microsoft Office and Google suite of products and ability to work with multiple different online systems
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT (If working hybrid in the office)
  • Occasional day and overnight in-state travel required (approximately 5 overnight stays in the course of a year).
  • Must have reliable transportation for in-state travel.
  • Must be able to set-up promotional booth and lift/carry promotional materials not exceeding 40 pounds.
COMMUNICATION SKILLS
  • Excellent oral and written communication skills are required as this position must interface with current and prospective students, community agencies and other team members.
  • Experience working in a remote environment, including effectively connecting with team members and partners in remote settings.
  • Enjoy working in a fast-paced work environment, exhibiting strong teamwork and excellent customer service within the team and to students.
  • Strong commitment to justice, diversity, equity and inclusion, evidenced in goal development and planning as well as work habits and processes.
