Description

Position Title: Summer Conference Assistant

Session: Summer 2024

Hourly Rate & Position Classification: Stipend of $2,000; Summer Housing; Meals during specific programs

Job Purpose: Summer Conference Assistants (SCAs) serve as key resources and multi-faceted support staff for
incoming and prospective undergraduate students and their families new to the University. SCAs aid
new students in their transition to college life and help facilitate academic and social integration at
Summer Orientation as well as other conferences and events held during their summer term of
employment. SCAs also assist families by introducing them to University resources and areas of support
for their students. SCAs must be able to commit to spending the length of the summer term in campus
housing beginning in May for training and ending with the conclusion of Hornet Days in August. SCAs
will be the backbone of summer program implementation across multiple university departments and
offices which will include reporting to different supervisors at different times for the various programs.

Skills Development and Learning Opportunities Available:

  • Enhance communication skills, both oral and written, through correspondence with their small groups, family communication, and social media interaction.
  • Further develop leadership abilities through a variety of interpersonal experiences with students, parents and families, and interaction with a variety of campus stakeholders.
  • Learn to facilitate small group discussion and large group public speaking
  • Improve upon time management skills as well as administrative skills and abilities.
  • Improve upon critical thinking and problem solving skills
  • Improve upon organizational and multitasking skills
  • Gain global and intercultural fluency by interacting with a diverse array of people from all over
  • the world
  • Practice responsibility, confidentiality, programming, conflict management, accountability, and
  • documentation skills by serving as a Community Assistant during the two-day June orientation
  • overnight programs for new students
  • Enhance multitasking, time management, and public relations skills by completing an array of
    tasks working in a variety of capacities through the summer

Essential Duties:
Summer Conferences:
Dates: May 15-31, 2024, June 12-22, 2024 and July 27-August 9, 2024
Supervisor: Michael Vaughan, Assistant VP for Auxiliary Services

  • Perform the duties as assigned by the direct supervisor for additional summer programs, conferences, and camps sanctioned by the university.
  • Assist with commencement activities including setup, execution, clean up, and break down of all furnishings and equipment.
  • Prepare key packets prior to and inventory all keys following each conference
  • Investigate, report, and follow-up on damage to guest room, hallways and common areas before and after each overnight summer group
  • Assist in reporting maintenance and housekeeping concerns
  • Assist in the "reset" of all residential areas, classrooms, and other facilities under the direction of Auxiliary Services. This includes moving furniture, mattresses, chairs, tables, etc.
  • Assist with distribution/pickup of linen supplies in residential areas
  • Assistant conference guests with check-in and check-out procedures
  • Assist in all housing areas when conference schedule requires
  • Follow-up on guest concerns and questions in a a courteous and timely manner
  • Treat all conference guests with respectful and helpful manner

New Student Orientation:
Dates: June 10-11, 13-14, 17-18, 20-21, 24-25, and 27-28, 2024
Supervisor: Eric Baldwin, VP for Student Development

  • Serve as a facilitator and group leader for all six (6) June New Student Orientation sessions
  • Actively and positively participate in all orientation activities
  • Serve as a positive role model for new students
  • Serve as a liaison for students to connect with necessary University support staff and resources
  • Acquaint new students with campus services, activities, facilities, and campus rules and regulations
  • Assist in the programming of events, informational sessions, and other activities that will occur during the New Student Orientation sessions
  • Ensuring residence spaces are prepared and ready for students prior to check-in
  • Assist in the organization and execution of room key distribution and collection
  • Reside overnight in the designated residence hall serving in the role of Community Assistant during all June orientation sessions
  • Maintain a positive and welcoming attitude
  • Address behavioral and/or policy concerns and document accordingly
  • Maintain consistent communication with students in your assigned orientation group
  • throughout the summer leading to their return for Hornet Days

Admission Programs:
Dates: July 2024 (Includes VA Private College Week July 15-20, 2024)
Supervisor: Samantha Baker, Assistant Director of Admissions & Event Coordinator

  • Serve as a University Ambassador
  • Acquire and retain pertinent information and history of the university operations, culture, values, and mission.
  • Guide prospective students and their families through the university campus on tours
  • Answer relevant questions of prospective students and family members
  • Participate in phone-call contacts with prospective students
  • Participate in daily/weekend tours, or special events sanctioned by the University Admissions Office.

Hornet Days:
Dates: August 11-21, 2024
Supervisor: Annette Stadtherr, Director of Parent, Family and New Student
Connections

  • Serve as Hornet Days Crew Leader for a predetermined student and/or parent group
  • Assist in the programming and execution of events, informational sessions, and other activities that will occur during the Hornet Days sessions
  • Actively and positively participate in all scheduled activities
  • Serve as a positive role model for new students and their families
  • Facilitate small and large group discussions with assigned students or families
  • Serve as a resource for students, families and guests
  • Promote and encourage engagement throughout Hornet Days
  • Communicate with students using email, texting, and social media posting before and
  • during summer programming (i.e. Orientation and Hornet Days)

Universal Responsibilities and Expectations:

  • Portray the University of Lynchburg, its policies, services, and campus life in a positive and respectful manner
  • Full and active participation in all training for each role of the position
  • Maintain on-going professional relationships with new students during the term of employment.
  • Abide by the University of Lynchburg's Honor and Conduct Codes outlined in The Hornet student handbook
  • Perform duties responsibly and professionally
  • Maintain confidentiality
  • Additional responsibilities as assigned
Qualifications

Qualifications:

  • Have a 2.5 cumulative QPA
  • Must be in good disciplinary standing with the University
  • Must relate well with students, parents, faculty, and administrators
  • Must be a currently enrolled full-time student for the current and upcoming academic year
  • Must present a professional demeanor that favorably represents the institution
  • Must demonstrate proficiency in Google Suite software products (Docs, Sheets, Forms, etc.)
  • Must have excellent oral and written English proficiency
  • Have leadership potential as demonstrated through involvement in either on-campus or off- campus activities (employment, service, affinity group affiliation, etc.)
  • Ability to legally drive in the United States is recommended but not required
