Job Description Summary
Employee demonstrates responsibility and initiative and performs a wide variety of technical duties that require specialized knowledge of the college and division's operating procedures and information systems. This position serves as a primary information source for division staff and requires extensive knowledge of the college record system, its policies, procedures and requirements.

Work schedule: Monday through Friday 7:30AM to 4:30PM

Job Description

ESSENTIAL JOB FUNCTIONS

  • Assist Dean, Associate Dean, and Department Chairs with development and support of class trainings for business and industry. (Enters class information into database, develops supporting materials, creates and invoices contracts.)
  • Assist instructors with administering and procuring software licensing, provide VM assistance, and assist in lab setup.
  • Serve as primary support to the Dean of the Division and assist with coordination of calendars, scheduling meetings, travel arrangements, itineraries, conference registrations, and Division events. Review and prioritize correspondence and processes internal/external documents and forms after approval and signature are obtained.
  • Coordinate onboarding of new Division instructors and staff.
  • Assist with Division communication to instructors and staff.
  • Maintain Division central records and master files, including annual employee evaluation schedule and Individual Professional Development Plans.
  • Prepare purchase requisitions and process orders using the computerized requisition system.
  • Entering and maintaining program related student records such as Maxient and TSA reporting.
  • Assist with ordering instructional supplies and Division supplies, as needed. Enter Facility and IT work orders for Division staff.
  • Arrange for conference rooms, classrooms, facilities, audio/visual materials, supplies, and refreshments for meetings, workshops, and seminars.
  • Assist in coordinating team and Advisory Committee meetings, prepare materials to be presented, take minutes, type, and distribute agendas, minutes/materials
  • Support in the development, updates, and maintenance of department SharePoint site.
  • Assist the Dean, Associate Dean, and Department Chairs in annual Strategic Planning Process, including capital budgeting requests and Division goal setting.
  • Assist with coordination and support of divisional strategic initiatives regarding K12, business and industry, and other community outreach.
  • Function as liaison with Technical Operations Specialist, other Division personnel, and outside businesses and agencies for room scheduling.


QUALIFICATIONS, TRAINING, AND EXPERIENCE

  • Associate Degree in Administrative Assistant or related area, AND
  • Three years of similar successful work experience, AND
  • Training and experience with PeopleSoft and computer systems, OR
  • An equivalent combination of related education, training, and experience.

  • Flexibility in work schedule is required, including some evening hours as needed.


Additional Information
Starting pay: $22.29 per hour.
Note: Internal applicants' wages will be based on the applicable compensation structure.
