The University of Miami is currently seeking a Surgery Scheduler 1 to work at Lennar Foundation Medical Center in Coral Gables. The incumbent assists with the coordination and scheduling of surgical procedures and serves as liaison between physicians, medical staff, and other departments to ensure smooth scheduling operations. Moreover, the Surgery Scheduler works directly with patients and strives to provide an excellent healthcare experience.

Core Job Functions

  • Schedules surgical appointments and monitors cancellations, keeping daily schedule accurate and current.
  • Completes necessary paperwork prior to pre-op appointments and obtains referrals and authorizations.
  • Follows up with appropriate departments to ensure that all pre-op results are available prior to the procedure.
  • Informs patients regarding activities that will take place during the visit and provides pamphlet of appropriate surgical facility.
  • Apprises patients of financial responsibilities prior to the date of the procedure.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

DEPARTMENT ADDENDUM

Department Specific Functions
  • Assist Clinical Program Coordinator with surgical related projects
  • Adjusts surgical calendar and case schedules according to departmental need and surgeons' requests
  • Coordinates surgical cases that are performed jointly by multiple surgeons at the same time
  • Works with other members of the Department of Orthopaedics to strategically assign OR time to various surgeons in the department
  • Schedules surgery which entails knowledge of CPT and ICD-10 codes and general knowledge of pertinent anatomy
  • Schedules clinic visits, both pre and post-operatively as required
  • Communicates with other providers and their offices and assists with obtaining medical clearances prior to surgery
  • Collaborates with other departments to ensure patients are prepared for surgery, including medical clearances, pre-op testing (e.g. for COVID-19), and financial team (e.g. for estimate preparation)
  • Communicates with and lines up appropriate surgical representatives from surgical instrumentation companies (e.g. Arthrex) to ensure any necessary supplies and reps are present on the day of surgery
  • Serves as secondary point of contact for post-op care for patients including triaging patient concerns, answering post-op phone calls, communicating with providers, and providing patients with necessary orders such as home health, Durable Medical Equipment (DME), etc.
  • Cooperates with departmental leadership to maximize reimbursements, including adjusting authorizations, assisting with retro-authorizations, etc.
  • Assists department with obtaining insurance authorizations additional procedures as requested, e.g. external imaging study authorizations

Education:

High School diploma or equivalent

Experience:
