Primary Purpose: This position is responsible for assisting the office in the daily operations that include office administration, human resources, accounting, and financial bookkeeping support. The position is key in assuring that clients and staff have access to current and accurate financial records.

Essential Duties:

*Review, process and record all local disbursements and enter complete information into QuickBooks.

*Collect monthly expense reports for Director’s approval, prepare check request forms and submit to CWS Elkhart for processing.

*Prepare monthly credit card statement reconciliations for the director and senior staff. Forward documentation to supervisors for approval within.

*Review, process and submit vendor invoices to CWS NY for processing.

*Receive, document and process all incoming funds and donations and submit to CWS Elkhart.

*Manage inventory records and account for all bulk items purchased (transportation, household items, etc.) to ensure that all items are recorded in client account records.

*Reconcile local bank account and submit copies to CWS Elkhart.

*Maintain R&P, APA and client financial records in client case files, including summary reports from QuickBooks after every payment, with manual notations showing any FLEX funds used.

*Maintain MG financial records including Client funds distribution log, monthly summary of client matching contributions and in-kind distribution forms.

*Maintain postage account and coordinating mailings.

*Document Petty cash used for Director approval and send to CWS Elkhart.

*Purchases office supplies and equipment and maintaining a stock

*Maintains office keys supply and assists with IT support

*Other duties as assigned

Qualifications:

High School education required

Prior job experience required

College experience preferred

Accounting experience preferred

QuickBooks experience preferred

Experience:

Minimum of one year experience in accounting or finance.

Ability and interest in refugee resettlement case management activities.

Ability to provide culturally sensitive assistance to all staff and clients.

Skills:

  • Language fluency in written and spoken English is required.
  • Must have superior written and verbal communication skills.
  • Must be computer literate with proficiency in MS Office.
  • Ability to work in a multi-cultural environment required.

  • Close attention to detail is essential.

Special Requirements:
  • It is required to maintain full COVID Vaccination status and comply with all CDC guidelines.
  • This is an in-person position located in Harrisonburg, VA;work arrangement (office/partially remote) can be made flexible upon further discussion and as long as it remains compatible with the needs of the business.
  • The successful candidate must be computer literate, with proficiency in MS Office and internet applications.
  • A valid driver’s license is also required, along with the ability to move furniture and donations. The candidate will be expected to transport clients in their own vehicle (mileage will be reimbursed) and must have a reliable working car for this purpose.
  • The successful candidate must pass a background check.
  • Ability to lift 50 lbs. of weight. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential job functions.
  • Must be willing to work evenings and weekends.
  • This position is primarily in the office and community.
  • During busy times other duties may be assigned.
