Primary Purpose:

We are seeking a talented Support and SharePoint Specialist to join our team as a pivotal member that would play a key role at Church World Service.In addition to overseeing and managing the SharePoint environment, this position assists with ongoing maintenance and support of all cloud-based systems. This includes support of cloud-based workflows, SharePoint website creation and maintenance, Intranet oversight, Microsoft Teams and OneDrive, cloud-based systems, communication systems, security systems, hardware, software, data management systems, device deployment, account life-cycle, documentation and inventory. Additional duties include e-mail and LAN administration.

Expectations:
As the IT Technical Support Specialist, you are responsible for assisting with all system-level processes and environments, and ensuring they comply with established IT security procedures and guidelines. This includes but is not limited to creating and managing SharePoint workflows, sites and processes, supporting Microsoft OneDrive, Microsoft Teams and additional Microsoft cloud products, maintaining up-to-date documentation on processes, assisting with and enforcing processes to maintain up-to-date and accurate distribution lists, tracking and maintaining inventory of all CWS-owned devices and licenses, enforcing security requirements, managing the antivirus, Umbrella and Duo systems, supporting new technologies, assisting with the implementation and management of processes related to incident response and assisting with regular internal audits on security systems.

Strong project management skills are essential.

Maintain current certifications in Microsoft technologies as they relate to the Microsoft cloud, including Microsoft 365: Enterprise Administrator Expert. Additional certifications will be assigned as needed.

Essential Duties:

  • Maintain up to date documentation on Microsoft cloud-based processes.
  • Oversee the Microsoft SharePoint Intranet environment.
  • Create and maintain custom SharePoint workflows.
  • Assist in strategy for optimal usage of SharePoint within Church World Service including development of a roadmap.
  • Ongoing design and administration of SharePoint from both a functional and technical perspective.
  • Serve as the key point of contact for all site administrators for troubleshooting, training, etc.
  • Manage and provide functional/technical guidance for an offsite SharePoint support resource and track all activities and define prioritization and workload including:Review of data policies and execute any applicable policies to SharePoint environment.
    • Ongoing maintenance activities including patching
    • User access requests
    • Creation of Site Collections, Sites, Pages, Libraries, Lists, Workflows, and other SharePoint objects as necessary/requested
    • Adherence to policy/procedure and SharePoint standards
  • Create and utilize Managed metadata and Enterprise Key words to improve search and other list and library functions.
  • Establish and manage guidelines for how SharePoint should be utilized and a base set of standards for Libraries/List/etc for things like folder usage, naming conventions, doc management tools, retention policies
  • Continual Cleanup and normalization of permissions
  • Provide SharePoint training for all roles so that it is properly utilized and maintained over time
  • Identify improvements for existing systems or processes by reviewing objectives and specifications; evaluating proposed changes; recommending changes; making modifications.
  • Evaluate vendor-supplied software by studying user objectives; testing software compatibility with existing hardware and programs.
  • Evaluate cloud-based systems and recommend improvements.
  • Enforce security processes and review logs and other pertinent data to ensure systems have not been compromised.
  • Maintain up to date documentation on all standard processes across CWS systems.
  • Research new and existing technologies with the goal of improving the current environments.
  • Assist with the roll-out of new systems and/or upgrades to existing systems.
  • Provide support and maintenance to local and remote networks.
  • Assist with up-to-date service pack installation and security patches for all operating systems.
  • Implement and maintain Office 365 workflows, including but not limited to Microsoft Power Apps, Microsoft Forms and Microsoft Flow.
  • Maintain hardware inventory by location.
  • Assist with maintenance of email distribution lists, and other items as assigned.
  • Assist with processes for account creation and termination from beginning to end.
  • Assist with device deployment and security processes both domain-based and via Intune.
  • Assist with application deployment via Intune and KACE.
  • Help test, implement, and support new technology as required. An understanding of new technology is essential: ongoing certification in Microsoft technologies and other technologies as the need arises is required.
  • Assist with regular internal audits on CWS security systems.
  • Track and maintain problems via Microsoft Teams for resolution determination and historical reference.
  • Post resolution to technical problems on the IT Teams site.
  • Assist with training for IT Help Desk staff to ensure they are following all security and system processes when assisting staff.
  • Provide training for IT Help Desk to ensure device deployment, application deployment and account management processes are being followed.
  • Organize and file paperwork as needed.
  • Organize and file electronic documents as needed.
  • Serve as a secondary liaison with the IT service providers and consultants.
  • Occasional travel may be required.
  • Other duties as assigned.
