Reports To:Operations Projection Manager

Primary Purpose:

The Procurement Coordinator is responsible for working with program and operations staff to research and procure services, goods, and materials for organizational offices and staff in a timely and smooth manner. The Procurement Coordinator will liaise with vendors, establish strong internal and external working relationships, and compare prices and services to pursue the most profitable course in line with mission objectives.

Essential Duties:

  • Work with program and operation staff to determine procurement and logistics needs to ensure program can be carried out effectively and efficiently.
  • Responsible for working with program and operation staff to open, close, and move CWS offices.
  • Secure the equipment, furniture, and other items for office locations.
  • Research, obtain, and/or support key services in coordination with the operations, IT, and office staff, including voice, cell, internet, postage, and supplies.
  • Establish positive working relationships with critical vendors and service providers.
  • Secure bids and proposals for requested equipment, furniture, and other items in line with budget and procurement policies and protocols.
  • Review contracts for signature and seek appropriate budget approvals.
  • Responsible to generate purchase orders, review invoices for payment, and secure sales tax exemption as needed.
  • Communicate with program and operations staff the status of deliveries, installations, and procurement and logistics plan.
  • Maintain positive relationships with suppliers, staff, vendors, and project teams.
  • Performs other duties as assigned.

Qualifications:

Education:
  • College degree or advanced education or equivalent experience.
Experience:
  • Five or more years of experience in procurement, project management, or a relevant logistics role.
  • Strong analytical and problem-solving skills.
  • Highly organized and disciplined thinker and effective time manager.
  • Drive and focus to complete project and tasks.
  • Good interpersonal and communication skills.
  • Ability to set, manage, and track multiple priorities and related details.
  • Ability to interact with others in a professional and responsive manner.
  • Strong contract, sales tax, and budget knowledge.
  • Ability to effectively present creative alternatives to the team in areas of improvement of system and tool initiatives.
  • Ability to develop sufficient understanding of functions and goals in order develop appropriate priorities.
  • Excellent computer skills, preferably Microsoft Office (Word, Excel, and Outlook in particular).
  • Solid math skills and ability to analyze projected costs versus actual costs.
  • Attentiveness to detail and accuracy in budgeting, accounting, reporting, and writing.
